Application Process
1. Application Submission: Â Â - Complete the online vendor application form, providing all requested information, including a description of your products or services, business name, contact details, and any specific space requests. Â Â - Submit the application by the specified deadline to be considered for the upcoming event.

2. Review and Approval:   - Once your application is submitted, our event team will review it to ensure alignment with the event’s goals and compliance with local regulations.  - If your application is approved, you will receive a confirmation email with payment instructions and additional event details. Please note that you will not be charged unless your application is approved.

3. Payment: Â - Full payment is required upon acceptance to secure your spot at the event. Payment instructions will be provided in your approval email. - If payment is not received within the designated timeframe, your spot may be forfeited.

Event Day Logistics:
- Setup and Breakdown: You will receive specific instructions regarding setup and breakdown times. Vendors must adhere to these times to ensure the event runs smoothly. Late arrivals may result in the forfeiture of your assigned space without a refund. Â Â

- Vendor Supplies: Vendors are responsible for providing all necessary supplies for their booth, including tables, chairs, lighting, and any other required equipment. The Downtown Fresno Partnership and event organizers do not supply these items.

2. Space Allocation: Â - Vendor spaces are assigned based on availability and event needs. While we do our best to accommodate preferences, please note that spaces are not guaranteed and will be assigned by the event organizers. Â - We strive to create a diverse and vibrant vendor lineup, so space assignments are made with this goal in mind.

3. Compliance Requirements: Â - All vendors must comply with local health, safety, and fire regulations. Food vendors must have up-to-date permits and insurance. Â - The event team may conduct inspections to ensure compliance, and any violations may result in removal from the event without a refund.

4. Event Atmosphere and Conduct: Â - Why Not Wednesdays is a community-centered event that aims to foster a positive and enjoyable atmosphere. Vendors are expected to conduct themselves professionally and courteously. Â - Any inappropriate behavior, including but not limited to disruptive conduct or non-compliance with event rules, may result in removal from the event without a refund.

5. Marketing and Promotion: Â - As a participating vendor, your business may be featured in our event marketing materials, including social media, event websites, and newsletters. Â - We encourage vendors to promote their participation in Why Not Wednesdays to help drive attendance and maximize exposure for your business.

6. Liability: Â - Vendors agree to hold harmless the City of Fresno, event organizers, Downtown Fresno Partnership, and all associated parties from any liability, damage, or injury during the event. Â Additional Information

Weather Policy for Why Not Wednesday
Purpose: This policy outlines the procedure for determining event cancellations due to rain for the Why Not Wednesday event, ensuring clear communication and fairness for all vendors.

Policy Statement: In the event of inclement weather, we are committed to making timely decisions regarding the cancellation of the Why Not Wednesday event.

The following guidelines will be adhered to:
Cancellation Decision Timeline: On the Monday morning of the event week, we will check the weather forecast. If there is more than a 40% or greater chance for that Wednesday, the event will be canceled.
Notification: Vendors will be notified via email as soon as the decision is made.
Refund Policy: All vendors will receive a full refund of their booth fees if the event is canceled due to expected rain.
Reapplication for Future Events: Vendors affected by the cancellation will be required to reapply for participation in the following month's event. Please note that applications cannot be rolled over to the next month for logistical purposes; all vendors must submit a new application.
Weather Monitoring: For accurate weather forecasts, we recommend using Weather.com (The Weather Channel app). This resource will be referenced for determining the likelihood of rain.
