Bringing medieval fantasy to life with the Florida Renaissance Festival
Since its inception in 1992, Florida Renaissance Festival has been bringing medieval magic to their 120,000+ attendees.
The festival features an enchanted artisan marketplace, where vendors display their unique wares, and attendees can participate in exciting tournaments, watch performances, and so much more!
Considering the sheer size of the festival, and various moving parts that make the festival a yearly success, we stepped in to provide Florida Renaissance Festival with streamlined event management solutions.
Challenges
Throughout the festival's 33-year run, they had never used credit cards, relying solely on cash for all transactions, from merchandise, to beer and drink sales. To combat lines, the festival hired additional bartenders, but getting them to use a new system, while ensuring that they got their tips was a challenge. Additionally, since the event is set in the woods, getting a stable Wi-Fi connection was a concern.
Goals
With so much to manage, Florida Renaissance Festival’s primary goal was to ensure efficiency with the implementation of credit cards, while focusing on increasing onsite sales, and managing large groups of attendees at once.
Hardware adoption
With the help of Eventeny’s customer support team, Florida Renaissance Festival employed evOnsite solutions, including Hotspots, Terminals, and iPad rentals. Due to the location of the event, internet connectivity was a challenge, but with Eventeny’s hotspots, they were able to successfully use iPads and Terminals as their POS system to process more than 12,000 orders of beer sales, frozen drink sales, merchandise, and more.
Gratuity on the mobile app
Regulars at the Florida Renaissance Festival share a special relationship with the festival's bartenders, and were accustomed to providing cash tips. However, now that the festival was transitioning to accepting credit cards and terminal payments, the festival was met with the challenge of maintaining the relationship their customers have with their bartenders, while ensuring the bartenders feel appreciated.
Using the Eventeny mobile app, customers were able to provide their bartenders tips, and with our newly released custom gratuity feature, event organizers can now enter custom tip amounts (straying from the traditional 15%, 20%, and 25%), allowing customers to tip fairly.
Cash or card?
You’d be hard pressed to find people with cash in their wallets these days - with the instant efficacy of Apple Pay, and credit cards, physical cash is rare. The festival had been cash only during their 33 year run, and for the first time, decided to experiment with adding in credit cards with Eventeny’s terminals.
With some basic training from our customer support team onsite, bartenders and vendors easily adjusted to using credit cards, and patrons loved the change! Now they no longer had to run to an ATM, they could use cards they were likely to have on hand, leading to increased attendee satisfaction.
Continued implementation
After implementing evOnsite for the first time, the Florida Renaissance Festival experienced an increase in orders processed, increased efficiency, and attendee satisfaction. Having experienced the benefits of evOnsite firsthand, the festival is enthusiastic about continuing its use to further elevate future events.
