Welcome to the Washington State Swap Meet (WSSM), an exciting and vibrant event held annually at the Eastmont 4-Plex in East Wenatchee, WA. Scheduled for September 13-15, 2024, this three-day event is a unique opportunity for community members and visitors from near and far to come together, engage in commerce, and enjoy a wide array of activities. About the Event The WSSM is more than just a marketplace—it's a celebration of community spirit, creativity, and cultural diversity. With over 100 vendors offering a variety of goods, from antiques and crafts to food and beverages, there's something for everyone. Our event is designed to foster connections, promote local businesses, and provide a fun-filled experience for all ages. Parking Instructions for the Washington State Swap Meet (WSSM) To ensure a smooth and organized experience for all attendees and participants, please adhere to the following parking instructions: 1. General Parking Location: General parking is available at the designated parking lot. Please follow the signs and directions provided by event staff to find the appropriate parking area. Shuttle Service: We are working on arranging a shuttle service from the high school parking lot to the entrance of the swap meet. Please check our website for updates on the shuttle schedule and pick-up/drop-off points. Walking Option: The high school parking lot is within walking distance of the event. If you prefer, you can park there and walk to the entrance of the swap meet. 2. Limited Parking on N Georgia Reserved for Handicap and Vulnerable Individuals: The parking area on N Georgia is reserved exclusively for handicap and vulnerable individuals. Please display the appropriate permits or identification when parking in this area. Accessibility: This area is closest to the event entrance, providing easy access for those who need it. 3. Vendor Parking and Unloading/Loading Unloading/Loading Zone: Vendors can pull into the Eastmont 4-Plex to unload and load their items during the designated timeframes. Event staff will be on hand to assist with directions and unloading procedures. Unloading Time: TBD Loading Time: TBD Vendor Parking: After unloading, vendors must move their vehicles to the general parking lot. Please follow the signs and instructions from event staff to ensure a smooth flow of traffic. 4. Shuttle Service Shuttle Location: The shuttle service will run from the high school parking lot to the entrance of the swap meet. Schedule: The shuttle schedule will be posted on our website and at the shuttle pick-up points. Please check for the latest information and plan accordingly. Pick-Up/Drop-Off Points: Shuttle stops will be clearly marked. Please wait at the designated areas for shuttle pick-up and drop-off. 5. General Guidelines Follow Instructions: Please follow all instructions from event staff and parking attendants to ensure safety and efficiency. Respect Reserved Areas: Do not park in areas reserved for handicap and vulnerable individuals unless you have the appropriate permits. Plan Ahead: Arrive early to allow time for parking and transportation to the event entrance, especially if you plan to use the shuttle service. Thank you for your cooperation. Health and Safety Guidelines for the Washington State Swap Meet (WSSM) The health and safety of all participants, including attendees, vendors, sponsors, and staff, are our top priority. Please adhere to the following general health and safety guidelines to ensure a safe and enjoyable event for everyone: First Aid: A first aid station will be available on-site for any medical emergencies or minor injuries. Event staff and volunteers are trained to assist and direct you to the first aid station if needed. Hydration: Stay hydrated by drinking plenty of water throughout the day. Water stations will be available at various locations around the event. Weather Preparedness: The event will proceed rain or shine. Please check the weather forecast and dress accordingly. Bring sunscreen, hats, or umbrellas to protect yourself from the sun or rain. Personal Belongings: Keep your personal belongings secure and be mindful of your surroundings. Report any suspicious activity or unattended items to event staff immediately. Lost and Found: If you lose an item or find a lost item, please visit the information booth to report it. Washington State Swap Meet (WSSM) - Terms and Conditions By participating in the Washington State Swap Meet (WSSM), you agree to abide by the following terms and conditions. These terms are designed to ensure a safe, enjoyable, and successful event for all attendees, vendors, sponsors, and staff. 1. Event Participation 1.1 Vendor Registration: All vendors must complete the registration process and pay any applicable fees prior to the event. Registration is non-transferable and non-refundable unless otherwise stated. 1.2 Sponsorship Agreements: Sponsors must comply with the terms outlined in their sponsorship agreements. Any breach of these terms may result in termination of the sponsorship and forfeiture of benefits. 1.3 Attendee Conduct: All attendees are expected to behave in a respectful and lawful manner. Any disruptive or inappropriate behavior may result in removal from the event without refund. 2. Vendor and Sponsor Responsibilities 2.1 Setup and Teardown: Vendors and sponsors must adhere to the designated setup and teardown times. All booths and displays must be fully operational during event hours and promptly dismantled at the close of the event. 2.2 Booth Maintenance: Vendors are responsible for maintaining a clean and safe booth area. Any damages to the venue or rental equipment caused by the vendor will be the vendor’s responsibility. 2.3 Compliance: All vendors and sponsors must comply with local, state, and federal laws and regulations, including those related to health and safety, food handling, and sales tax. 3. Event Operations 3.1 Event Schedule: The WSSM organizers reserve the right to modify the event schedule, including dates, times, and locations, due to unforeseen circumstances. 3.2 Weather Policy: The event will proceed rain or shine. In the event of severe weather, organizers will communicate any changes or cancellations promptly. 3.3 Security: Security personnel will be present throughout the event. All attendees, vendors, and sponsors must comply with security protocols and procedures. 3.4 Liability: WSSM organizers are not responsible for any loss, theft, or damage to personal property or merchandise. Participants are encouraged to take appropriate precautions. 4. Marketing and Promotion 4.1 Use of Logos: Vendors and sponsors grant WSSM permission to use their logos and company names in event marketing and promotional materials. 4.2 Photography and Videography: By attending the event, participants consent to being photographed or recorded. WSSM reserves the right to use these images and recordings for promotional purposes. 5. Health and Safety 5.1 COVID-19 Protocols: Participants must adhere to any health and safety protocols related to COVID-19 or other public health concerns, as specified by the organizers or local health authorities. 5.2 Emergency Procedures: In the event of an emergency, all participants must follow the instructions of event staff and emergency personnel. 6. Refunds and Cancellations 6.1 Vendor Refunds: Vendor registration fees are non-refundable unless the event is canceled by the organizers.
