Hala Festival Vendor Terms & Conditions
Welcome to Hala Festival!By submitting your vendor application and/or payment, you agree to comply with the following guidelines:
1. Application Process
• All vendors must complete the application form fully and submit it by the listed deadline.
• Applications will be reviewed by the Hala Festival team. Submission does not guarantee approval.
• Vendors will only be charged upon approval of their application.
• Submitting an application indicates acceptance of all Hala Festival event policies and procedures.
2. Payment Policy
• Approved vendors will receive an invoice to complete payment.
• Payment must be submitted by the due date provided to secure your space.
• All payments are final and non-refundable, except if the event is canceled by Hala Festival organizers.
• Vendors who do not complete payment or fail to attend will forfeit their vendor fee.
3. Booth Requirements
• Vendors are responsible for providing their own tents, tables, chairs, and displays.
• Tents must be properly weighted and secured for safety.
• Vendors must operate within the dimensions assigned to them and may not expand beyond their allotted space.
• Booth sharing, subletting, or reassignment is prohibited unless pre-approved by the Hala Festival team.
4. Permits and Licenses
• All food vendors must upload a valid Health Department Permit or Temporary Food Permit at the time of application.
• Vendors are responsible for ensuring compliance with all city, state, and federal regulations, including sales tax and business licensing requirements.
• Liability insurance is strongly recommended for all vendors.
5. Event Day Responsibilities
• Vendors must strictly follow setup and breakdown instructions provided before the event.
• Setup must be completed within the scheduled time frame. Late arrivals may forfeit their spot.
• All vendor spaces must be clean and clear of debris after breakdown.
• Vendors are responsible for any damages caused to the venue or equipment.
6. Conduct and Professionalism
• Hala Festival celebrates community, culture, and creativity. Vendors must uphold a positive, respectful, and professional attitude throughout the event.
• Any form of harassment, discrimination, disruptive behavior, or non-compliance with event rules will result in immediate removal without refund.
7. Prohibited Items
• Vendors may not sell illegal, hazardous, counterfeit, or unauthorized products, including weapons, alcohol, or controlled substances.
• Violations of this policy will lead to immediate removal from the event without refund.
8. Weather Policy
• Hala Festival is a rain or shine event.
• Vendors must be prepared for various weather conditions and are responsible for protecting their merchandise and setup accordingly.
• No refunds will be issued due to weather conditions.
9. Marketing & Media Use
• Vendors grant permission to Hala Festival to use their business name, images, products, and booth displays for event marketing and promotional purposes.
• Vendors are encouraged to promote their participation and tag @hala.festival in social media posts.
10. Liability Waiver
• Vendors participate at their own risk.
• Hala Festival, its organizers, staff, and partners are not responsible for any loss, theft, damage, injury, or other claims resulting from participation.
• Vendors agree to indemnify and hold harmless Hala Festival from any legal claims or liabilities arising from their operations at the event.for more information please contact us at info@halafestival.com
