Sonoma County Juneteenth Festival – Nonprofit Vendor Terms & Conditions
By applying to participate as a nonprofit vendor at the Sonoma County Juneteenth Festival, you agree to the following terms and conditions. These guidelines help ensure a smooth, safe, and successful event for all participants.
1. Application & Selection ProcessReview Process: Submitting an application does not guarantee acceptance. All applications will be reviewed by the festival board to ensure a diverse range of organizations are represented.
Notification: Accepted vendors will be notified via email with setup instructions and event details.
2. Payment & FeesNon-Refundable Fee: If a booth fee applies, it is non-refundable, regardless of cancellations, no-shows, inclement weather, or other unforeseen circumstances.
Payment Deadline: Fees (if applicable) must be paid by the specified deadline to confirm participation.
3. Booth Setup & OperationsSetup & Breakdown: Vendors must adhere to designated setup and breakdown times. Late arrivals may result in forfeiture of the booth space.
Display Requirements: Vendors are responsible for bringing their own tables, chairs, banners, and materials. Booths must be professional, organized, and staffed throughout the event.
Marketing & Materials: All materials distributed must align with the mission and values of the festival. No political endorsements, hate speech, or controversial messaging will be permitted.
4. Sales & FundraisingSales Restrictions: Nonprofit vendors may only sell products or accept donations if pre-approved by the festival board. All transactions must comply with local sales tax regulations.
Tax Responsibility: If selling items, vendors are responsible for collecting and remitting any applicable sales tax (Santa Rosa’s current sales tax rate is approximately 10.00%).
5. Liability & IndemnificationRisk Assumption: Participation is at your own risk. The festival organizers, sponsors, and venue are not responsible for any loss, damage, or injury.
Indemnification: Vendors agree to indemnify and hold harmless the Sonoma County Juneteenth Festival, its organizers, and the City of Santa Rosa from any claims, damages, or liabilities arising from their participation.
6. Event Cancellation & ModificationsCancellation Policy: The festival reserves the right to cancel or modify the event due to weather, safety concerns, or other unforeseen circumstances. No refunds will be issued in case of cancellation.
Compliance: Vendors must follow any additional event guidelines or instructions from festival organizers.
