Sonoma County Juneteenth Festival – Clothing Vendor Terms & Conditions
By applying to participate as a clothing vendor at the Sonoma County Juneteenth Festival, you agree to abide by the following terms and conditions. These guidelines are established to ensure a fair, safe, and successful event for all participants.
1. Application & Selection ProcessReview Process: Submitting an application does not guarantee acceptance. All applications will be reviewed by the festival board based on overall event needs, vendor diversity, and compliance with festival standards.
Notification: Accepted vendors will be notified via email with further instructions regarding setup, logistics, and vendor requirements.
2. Payment & FeesNon-Refundable Fee: A vendor fee is required upon acceptance. Please note that this fee is non-refundable, regardless of cancellations, no-shows, inclement weather, or unforeseen circumstances.
Payment Deadline: Fees must be paid by the deadline specified in the vendor notification. Failure to do so may result in forfeiture of your vendor space.
3. Product Requirements & ComplianceMerchandise Standards: Clothing vendors must offer products that are original, high-quality, and appropriate for the festival audience. All merchandise should reflect the spirit of cultural celebration and creativity.
Regulatory Compliance: Vendors are responsible for ensuring that their products comply with all applicable local, state, and federal regulations, including proper labeling and safety standards.
4. Booth Setup & OperationsSetup & Breakdown: Vendors must adhere to designated setup and breakdown times. Late arrivals may result in reduced space or forfeiture of the booth.
Display Requirements: Vendors are responsible for providing their own display materials, tables, chairs, and signage. All setup must be in accordance with guidelines provided by the festival organizers.
Maintenance: Keep your booth area clean and organized throughout the event. Dispose of waste responsibly and follow all instructions provided by event staff.
5. Sales Tax & Financial ResponsibilitiesSales Tax Collection: Vendors are responsible for collecting and remitting any applicable sales taxes on their sales (e.g., the current Santa Rosa sales tax rate of approximately 10.00%).
Record Keeping: Maintain accurate records of all transactions for tax reporting and audit purposes.
6. Liability & IndemnificationRisk Assumption: Participation as a vendor is at your own risk. The festival organizers, sponsors, and venue are not responsible for any loss, damage, or injury to personal property or merchandise.
Indemnification: By participating, you agree to indemnify and hold harmless the Sonoma County Juneteenth Festival, its organizers, and the City of Santa Rosa from any claims, damages, or liabilities arising from your participation in the event.
7. Event Cancellation & ModificationsCancellation Policy: The festival reserves the right to cancel or modify the event due to unforeseen circumstances, such as inclement weather, safety concerns, or government regulations. No refunds will be issued in the event of cancellation or rescheduling.
Vendor Responsibilities: In the case of event modification or cancellation, vendors must comply with any instructions provided by the festival organizers regarding the handling of merchandise and booth dismantling.
