Sonoma County Juneteenth Festival – Arts & Crafts Vendor Terms & Conditions
By applying to be an arts & crafts vendor at the Sonoma County Juneteenth Festival, you agree to the following terms and conditions. These guidelines are established to ensure a safe, successful, and enjoyable event for all participants.
1. Application & Selection ProcessReview Process: Submission of an application does not guarantee acceptance. All applications will be reviewed by the festival board to ensure a balanced mix of vendors that meets event needs.
Notification: Accepted vendors will be notified via email with additional details and setup instructions.
2. Payment & FeesNon-Refundable Fee: Upon acceptance, the vendor fee is non-refundable. This applies in all cases, including cancellations, no-shows, inclement weather, or any unforeseen circumstances.
Fee Payment: Payment must be completed by the deadline specified in the vendor notification. Late payments may result in forfeiture of your vendor space.
3. Product Requirements & ComplianceCreative Merchandise: Vendors must offer original, handmade, or artistically curated items that align with the spirit of the festival.
Compliance: All products must comply with local, state, and festival regulations. Vendors are responsible for ensuring that their merchandise meets any applicable safety, labeling, and quality standards.
4. Booth Setup & OperationsSetup Times: Vendors are required to complete setup during the designated time. Late arrivals risk losing their allocated space.
Equipment & Display: Each vendor is responsible for providing their own display materials, tables, chairs, and signage. Detailed setup guidelines will be provided upon acceptance.
Maintenance: Vendors must maintain a clean and orderly booth area throughout the event.
5. Sales Tax & Financial ResponsibilitiesSales Tax Collection: Vendors are responsible for collecting and remitting applicable sales taxes (e.g., the current Santa Rosa sales tax rate of approximately 10.00%) on their sales.
Record Keeping: Maintain proper documentation of all transactions for tax and audit purposes.
6. Liability & IndemnificationRisk Assumption: Vendors participate at their own risk. The festival organizers, sponsors, and venue are not responsible for any loss, damage, or injury incurred by vendors.
Indemnification: Vendors agree to indemnify and hold harmless the Sonoma County Juneteenth Festival, its organizers, and the City of Santa Rosa from any claims, damages, or liabilities arising from their participation.
7. Event Cancellation & ModificationsCancellation Policy: The festival reserves the right to cancel or modify the event due to unforeseen circumstances such as inclement weather, safety concerns, or government regulations. No refunds will be issued if the event is canceled or rescheduled.
Vendor Responsibilities: In the event of a cancellation or significant modification, vendors must adhere to any instructions provided by festival organizers regarding the handling of merchandise and booth setup.
