Author Application Terms and Conditions
Effective Date: Upon submitting application
These Terms and Conditions ("Agreement") govern the application process and participation of authors ("Author", "you", or "your") in the Romancing the Villain ("Event") organized by Fae Ball Events LLC ("Organizer", "we", or "us"). By submitting an application to participate as an author at the Event, you agree to comply with these Terms and Conditions.
1.
Application and Acceptance1.1 Application Process: Authors must complete the official Author Application Form and submit it for review. The submission does not guarantee acceptance. The Organizer will review all applications and notify authors of acceptance based on criteria including, but not limited to, book genre, event theme, and availability of space.
1.2 Approval and Confirmation: If your application is approved, the Organizer will send you a formal confirmation with event details, including setup instructions, schedules, and terms of participation.
1.3 Application Fee: A non-refundable booth fee, must be paid once approved for appearance. Failure to pay the fee may result in the cancellation of your application.
2.
Booth and Space Allocation2.1 Booth Assignment: Authors will be assigned a booth or table at the Event. The Organizer will make every effort to accommodate location preferences but reserves the right to assign booth locations at their discretion.
2.2 Booth Setup: The Author is responsible for setting up their booth on the assigned setup date and time. Setup instructions and materials will be provided prior to the Event. The Author must be ready and present during Event hours.
2.3 Display and Materials: Authors may display and sell only the books and materials approved in their application. Any additional materials or products must be approved in writing by the Organizer prior to the Event.
3.
Sales and Payment3.1 Book Sales: Authors are solely responsible for setting the price of their books and any related materials. Sales will occur directly between the Author and Event attendees. The Organizer does not take any commission on book sales, unless otherwise agreed upon in writing.
3.2 Payment Processing: Authors will be responsible for collecting payments (cash, card, or otherwise). It is the Author's responsibility to handle all sales transactions.
3.3 Taxes and Permits: Authors are responsible for ensuring that they have any necessary tax identification numbers, sales tax permits, or other licenses required to legally sell their books during the Event. The Organizer is not responsible for collecting or remitting any sales taxes.
4.
Conduct and Professionalism4.1 Behavior and Conduct: Authors agree to conduct themselves professionally and respectfully at all times during the Event. Any disruptive, inappropriate, or offensive behavior may result in immediate removal from the Event without a refund.
4.2 Personal Interaction with Attendees: Authors are encouraged to engage with attendees, answer questions, and promote their books. However, any solicitation or behavior deemed unprofessional by the Organizer will not be tolerated.
4.3 Social Media and Promotion: Authors are encouraged to promote the Event through social media platforms, using official event hashtags and handles provided by the Organizer. However, all promotional materials and messaging must adhere to the Event's guidelines.
5.
Liability and Insurance5.1 Personal Property: The Author is responsible for securing their own personal property, including books, promotional materials, and other items brought to the Event. The Organizer is not liable for any loss, theft, or damage to property during the Event.
5.2 Liability Insurance: Authors are encouraged to have their own liability insurance for the duration of the Event. The Organizer is not responsible for any injuries, damages, or incidents arising from the Author’s participation in the Event.
6.
Health and Safety6.1 Compliance with Health Guidelines: If applicable, authors agree to comply with all health and safety measures in place at the time of the Event (e.g., COVID-19 protocols, mask requirements, social distancing). Non-compliance with these regulations may result in exclusion from the Event.
6.2 Safety Measures: The Author must ensure that their booth setup and all materials are safe for attendees. The Organizer reserves the right to remove any setup that is deemed unsafe.
7.
Cancellations and Refunds7.1 Author Cancellations: If the Author is unable to attend the Event, they must notify the Organizer in writing as soon as possible. If cancellation occurs after the registration deadline, no refund will be provided.
7.2 Event Cancellations: The Organizer reserves the right to cancel or reschedule the Event due to unforeseen circumstances, including but not limited to natural disasters, government restrictions, or other factors beyond the Organizer's control. In such cases, the Author will be notified promptly, and registration fees will either be refunded or applied to a future Event, at the Organizer’s discretion.
8.
Media and Promotion8.1 Media Coverage: The Author acknowledges that the Organizer may take photographs, videos, and other media at the Event, including of the Author’s booth or activities. The Organizer may use such media for promotional purposes, both online and offline, without additional compensation or prior consent.
8.2 Press and Interviews: If media representatives approach the Author for interviews or other promotional activities, the Author agrees to cooperate in a professional and timely manner, subject to the Organizer’s event schedule.
9.
Force Majeure9.1 Non-Performance: The Organizer shall not be liable for any failure to perform their obligations under this Agreement due to causes beyond their control, including but not limited to natural disasters, pandemics, strikes, or government-imposed restrictions.
10.
Modification of Terms10.1 Amendments: The Organizer reserves the right to modify or amend these Terms and Conditions at any time. Any amendments will be communicated to the Author in writing or by email.
10.2 Governing Law: This Agreement shall be governed by the laws of Portland, OR. Any disputes arising from the Event will be resolved in accordance with the laws of that jurisdiction.
11.
AgreementBy submitting an application, the Author acknowledges that they have read, understood, and agree to be bound by these Terms and Conditions.
