Vendor Terms and Conditions
Food Truck Inspections and Compliance
The City of Wyandotte Fire Department will conduct thorough inspections of all food truck setups, ensuring full compliance with local laws, safety standards, and regulations to safeguard the well-being of all participants. Additionally, food trucks will be positioned in designated vendor areas as determined by event staff.
Food Truck Placement and Maintenance
Food trucks must remain strictly within the designated vendor area and cannot extend beyond their allotted space. All food vendors are required to maintain a clean, organized, and visually appealing setup throughout the event. Any additional equipment, such as generators, tables, or signage, must remain within the assigned space and must not obstruct adjacent vendors or walkways in any manner.
Vendor Conduct
Vendors are expected to conduct themselves in a professional, respectful, and cooperative manner at all times. Any conduct deemed inappropriate by Conz Productions LLC, the City of Wyandotte, or Downriver Pride staff may result in removal from current and future Conz Productions LLC events. The festival prioritizes a family-friendly atmosphere, and vendors must align their offerings with this theme. Compliance with all directives from staff and uniformed security regarding site safety and regulations is mandatory.
Vendors exhibiting disruptive or inappropriate behavior toward Conz Productions LLC staff, City of Wyandotte personnel, Wyandotte Municipal Services staff, fellow vendors, Downriver Pride volunteers, or attendees will be asked to leave the event without refund and may be disqualified from participating in future events. Disruptive behavior includes, but is not limited to, swearing, shouting, aggressive actions, threats, or any conduct deemed disruptive by Conz Productions LLC or Downriver Pride staff.
Hawking and Guest Interactions
Vendors are strictly prohibited from engaging in hawking or interacting with guests outside their assigned area. This policy is enforced to preserve the overall guest experience and maintain a cohesive, enjoyable atmosphere for all attendees. All vendor interactions, including promotions, must occur within the designated food truck area.
Personal Property and Insurance
Vendors are responsible for securing their personal property, including food trucks, equipment, inventory, and cash. Vendors must ensure their setups are properly insured and protected. Conz Productions LLC, the City of Wyandotte, and Downriver Pride staff do not assume liability for any damages to items or displays. Vendors are prohibited from touching or interacting with other vendors' property unless explicit permission has been granted by the owner.
Food Truck Setup and Compliance
Vendors must provide all necessary equipment for their operations, including food preparation, storage, and serving materials. All food trucks must comply with local fire codes, including possessing a functional fire extinguisher and following proper propane and generator safety protocols. Vendors must ensure that all operations, including cooking, storage, and waste disposal, occur within their designated area.
Product Rejection and Compliance
The Jury and Conz Productions LLC staff reserve the right to reject items that are deemed inappropriate, in poor taste, or inconsistent with the expected quality or category of products as submitted during the application process. Vendors failing to comply with festival regulations will be required to leave the event immediately, and no refunds will be issued.
Vendor Attendance and Cancellations
Vendors must commit to being present for the entire duration of the festival and adhere to the scheduled event days. Vendors who fail to attend will not be eligible for a refund. Cancellations made within 60 days of the event will receive a 40% refund of the booth fee. Cancellations made 30 days or fewer before the event will receive a 10% refund. Cancellations within 14 days or fewer are non-refundable. Vendors have two weeks after cancellation to request a refund through email.
Vehicle Access and Parking
Accepted vendors may bring in vehicles during specified unloading times. Once unloaded, vehicles must be promptly removed from the site, with all vehicles cleared by 11:00 AM. Vehicles may return for loading only when directed by festival staff. Vendors are advised to park in City Public parking lots, as there are no assigned vendor parking spaces at Downriver Pride. For parking concerns or special accommodations, vendors should contact Conz Productions LLC in advance.
Traffic and Parking Violations
Wyandotte Police may issue tickets for driving, parking, or standing violations. All participants must comply with local traffic and parking laws. Conz Productions LLC assumes no responsibility for any fines or tickets issued before, during, or after the event. It is the vendor's responsibility to comply with all local regulations.
Licensing and Permits
Vendors must provide a current and valid copy of all necessary licenses and permits, as required by the Wayne County Health Department and the State of Michigan. This includes licenses for food preparation, food safety certifications, and any additional regulatory requirements. Vendors must submit relevant permits and certifications, such as the Certified Kitchen License, SERV Safe Certification, etc., along with the vendor application.
Food Vendor Requirements
Food vendors are responsible for all applicable license fees through the Wayne County Health Department. Vendors must obtain a two-day food vending special license and will be inspected by the Health Department on the first day of the event. Conz Productions LLC reserves the right to modify menus to prevent product duplication and will contact vendors directly if necessary.
Trash Removal and Cleanliness
Food vendors must regularly remove their trash during the event and ensure their space is clean at the end of each day. Vendors who fail to meet cleanliness standards may be banned from future events. All items must be removed from the site at the conclusion of the festival, and all operations, including storage, preparation, and cleanup, must remain within the assigned vendor space. Vendors exceeding their allocated space will be charged for the extra area used. All grease containers must be removed from the site at the end of each day, and vendors are prohibited from pouring grease into sewer drains, with violations subject to a $500 fine. Vendors must cover electrical cords and water hoses; rugs are not allowed.
Insurance and Liability
Vendors must secure proper insurance to protect their property and setup. Conz Productions LLC, the City of Wyandotte, and Downriver Pride staff are not liable for any loss or damage. Vendors with insurance must add Conz Productions LLC (P.O. Box 126, Wyandotte, MI 48192) and the City of Wyandotte (3200 Biddle Avenue, Wyandotte, MI 48192) as additional insured parties on their policies, with a minimum coverage of $1 million, effective by June 1, 2024. Vendors without insurance must complete and submit the attached waiver form with their application.
Terms and Conditions Subject to Change
These Terms and Conditions are subject to change at any time. Conz Productions LLC reserves the right to update, modify, or alter these terms at its discretion. Any changes will be communicated to vendors in a timely manner. Vendors are responsible for reviewing the Terms and Conditions regularly to ensure compliance with the most current policies. All applicants agree to signing the vendor agreement upon acceptance, which will be sent out at a later date.
