Vegans Explore Fort Lauderdale - Vendor Terms and Conditions

Thank you for your interest in participating as a vendor at Vegans Explore Fort Lauderdale. Please carefully read the following terms and conditions, which govern your participation in the event. By registering as a vendor, you agree to comply with the below-mentioned terms.
1. Vendor Registration and Payment
1.1. Vendor registration is confirmed only upon full payment of the applicable vendor fee.
1.2. Fees are non-refundable unless the event is canceled by the organizers.
1.3. Payment must be made to reserve your participation.
2. Vendor Space and Setup
2.1. Vendors will be allocated space as per their selected package:
- Food Truck: Up to 20ft space.
- General Vendor: 10x10 space (tent not included).
2.2. Vendors are responsible for setting up and dismantling their booths within the allocated time.
2.3. All vendor displays must be contained within the designated area and should not obstruct foot traffic or neighboring vendors.
2.4. No subletting or sharing of vendor space is allowed without prior approval.
3. Event Operations
3.1. Vendors must be present and operational for the entire duration of the event from 6 PM to 10 PM on March 1, 2025.
3.2. All products and services offered must align with Vegan values and ethics. No animal-based products are allowed.
3.3. Vendors must comply with all health and safety regulations as required by local authorities.
3.4. Vendors are responsible for maintaining the cleanliness of their booth area.
3.5. Use of amplified sound or music is prohibited unless prior approval is granted by the event organizers.
4. Liability and Insurance
4.1. Vendors must have valid business liability insurance covering their participation in the event.
4.2. Vegans Explore, its organizers, and venue partners are not responsible for any loss, theft, damage, or injury incurred during the event.
4.3. Vendors agree to indemnify and hold harmless Vegans Explore from any claims, damages, or expenses resulting from their participation.
5. Promotional Rights
5.1. Vendors grant Vegans Explore the right to use their business name, logo, and images for promotional purposes before, during, and after the event.
5.2. Vendors may not use the event logo or name for promotional activities without prior written approval.
6. Cancellation and Force Majeure
6.1. In the event of unforeseen circumstances such as extreme weather, natural disasters, or government regulations, the event may be postponed or canceled at the discretion of the organizers.
6.2. In such cases, vendors will be informed of rescheduled dates or alternative arrangements.
6.3. Refunds or credits may be provided at the discretion of the event organizers based on the situation.
7. Code of Conduct
7.1. Vendors must conduct themselves professionally and respectfully toward attendees, staff, and fellow vendors.
7.2. Any behavior deemed inappropriate, disruptive, or contrary to the values of Vegans Explore may result in immediate removal from the event without a refund.
8. Compliance with Laws
8.1. Vendors must comply with all applicable local, state, and federal laws and regulations.
8.2. All necessary permits and licenses required for sales or food service must be obtained by the vendor.
9. Termination of Agreement
9.1. The event organizers reserve the right to terminate vendor agreements if there is a failure to comply with these terms and conditions.
9.2. Vendors terminated for non-compliance will not be eligible for refunds.
