The following Terms and Conditions apply to all vendors participating in the Souq Social Market. By submitting your application and/or payment, you agree to comply with the terms outlined below.
1. Application and Approval
1.1 All vendors must complete the application form in full and submit it by the specified deadline.
1.2 Applications are subject to review and approval by the Souq Social Market team. Approval is not guaranteed.
1.3 Payment will be charged only upon approval of application.
1.4 Submission of an application constitutes agreement to these Terms and Conditions.
2. Payment and Refunds
2.1 Payment for vendor space is non-refundable, except in cases where the event is canceled by the Souq Social Market team.
2.2 Vendors who fail to attend the market forfeit their payment.
3. Vendor Space
3.1 Vendors are responsible for setting up, decorating, and dismantling their own booth.
3.2 Each vendor space includes only the agreed-upon dimensions. Vendors must not exceed the allotted space.
3.3 Vendors must supply their own tent weights, tables, and chairs unless otherwise agreed upon.
3.4 Vendors may not sub-let or share their space without prior written approval.
4. Permits, Licenses, and Insurance
4.1 Vendors are responsible for obtaining all necessary permits, licenses, and certifications required for their operations, including sales tax permits and product-specific certifications.
4.2 Vendors must comply with all local, state, and federal laws and regulations.
4.3 Vendors must carry their own liability insurance to cover any claims related to their products, services, or booth setup. Proof of insurance may be requested.
4.4 Authorization to Act on Behalf of Food Vendors:
- Food vendors grant Souq Social Market the authority to act on their behalf in submitting required applications, permits, and documentation to the local health department to facilitate their participation in the event.
- Vendors agree to provide all necessary information and documentation to Souq Social Market by the stated deadlines.
- Vendors are responsible for all fees associated with health department applications or inspections.
- Souq Social Market is not liable for any delays or denials caused by incomplete or inaccurate vendor information.
5. Waiver of Liability and Assumption of Risk
5.1 By participating in Souq Social Market, vendors acknowledge and agree that the event organizers, Souq Social Market, its staff, and partners are not responsible for any loss, damage, theft, injury, or other claims arising from participation in the market.
5.2 Vendors assume all risks associated with participation, including risks of damage to property, personal injury, or financial loss.
5.3 Vendors expressly waive any claims against Souq Social Market, its staff, and partners and agree to indemnify and hold them harmless from any and all claims, liabilities, damages, or expenses arising from their participation.
6. Setup and Takedown
6.1 Vendors must adhere to the setup and takedown times provided by Souq Social Market. Early setup or late takedown is not allowed.
6.2 Vendors must ensure their booth is clean and free of debris upon leaving.
6.3 Vendors are responsible for any damage caused to the venue or surrounding property as a result of their participation.
7. Prohibited Items
7.1 Vendors are strictly prohibited from selling counterfeit, illegal, or hazardous items, including but not limited to alcohol, drugs, or weapons.
7.2 Any vendor found in violation of this policy will be immediately removed from the market without refund.
8. Conduct
8.1 Vendors are expected to maintain professional and respectful conduct toward customers, fellow vendors, and Souq Social Market staff.
8.2 Harassment, discrimination, or disruptive behavior will not be tolerated and may result in removal from the market without refund.
9. Weather and Force Majeure
9.1 Souq Social Market events are held rain or shine unless otherwise stated.
9.2 Souq Social Market is not liable for cancellations or disruptions caused by circumstances beyond its control, including but not limited to extreme weather, government regulations, or other force majeure events.
10. Marketing and Promotion
10.1 Vendors agree to allow Souq Social Market to use images or descriptions of their products for marketing purposes.
10.2 Vendors are encouraged to promote their participation in the market via their own channels.
11. Indemnification
11.1 Vendors agree to indemnify and hold harmless Souq Social Market, its staff, and partners from any claims, losses, damages, or liabilities arising from the vendor’s participation, including but not limited to claims related to product liability, injuries caused by vendor setup, or violations of these terms.
12. Insurance Requirements
12.1 Vendors must carry general liability insurance and, where applicable, product liability insurance.
12.2 Food vendors must provide proof of compliance with all health and safety regulations and any required food service permits.
By participating in Souq Social Market, vendors acknowledge that they have read, understood, and agreed to these terms and conditions. Non-compliance may result in removal from the event without refund.
