1. Application and Acceptance
1.1 . Submission of an application does not guarantee acceptance. The festival team reserves the right to select booths based on relevance, quality, and alignment with the festival’s mission.
1.2 . Accepted participants will be notified via email within 30 days of submission. Any necessary documentation or fees must be submitted by the specified deadline to confirm participation.
2. Booth Operation
2.1 Vendors must operate their booth during the entire duration of the festival, from 11AM to 7PM.
2.2. Booths may not exceed their designated space without prior approval. Additional space requests must be made during the application process.
2.3. Afro Air Festival will be providing their tables, chairs, and linens.
2.4. Participants are responsible for decor, tents, signage, and equipment unless otherwise agreed upon.
2.3 Items for sale must be original, handmade, or culturally inspired as described in your application. Resale of mass-produced or third-party items is prohibited.
2.4 Vendors are encouraged to actively engage with attendees and share the cultural significance or inspiration behind their crafts.
3. Booth Setup and Breakdown
3.1 Setup: Vendors may begin setting up their booth at 8AM on May 17, 2025. Booths must be fully set up and operational by10AM.
3.2 Breakdown: Booth takedown may only begin after the event ends at 7PM. Vendors must remove all booth materials and leave the area clean and free of debris.
3.3 The festival organizers are not responsible for any materials left behind.
4. Parking and Load-In/Load-Out
4.1 Participants are responsible for arranging their own parking and must follow the festival’s unloading and parking instructions. Parking is $15 at Fair Park.
4.2 Vendors must follow the designated load-in and load-out schedule to ensure a smooth and efficient process for all participants.
4.3 Vehicles must be moved to the designated parking area immediately after unloading.
5. Fees and Payment
5.1 Booth fees must be paid by April 1, 2025. Failure to pay on time may result in forfeiture of your space.
5.2 Booth fees are non-refundable unless the event is canceled by the organizers.
6. Vendor Conduct
6.1 Vendors must conduct themselves in a professional and respectful manner toward festival staff, attendees, and other vendors.
6.2 Offensive behavior, harassment, or discrimination of any kind will result in immediate removal from the event without a refund.
6.3 Vendors are prohibited from displaying or selling items that promote offensive or divisive messages.
7. Liability and Insurance
7.1 Vendors assume full responsibility for their booth, products, and equipment. The festival organizers are not liable for theft, damage, or loss of property.
7.2 Vendors agree to indemnify and hold harmless the festival organizers, staff, and volunteers from any claims, damages, or liabilities arising from their participation.
7.3 Vendors are encouraged to carry liability insurance to protect against potential risks.
8. Force Majeure
8.1 The festival is not liable for delays, interruptions, or cancellations caused by circumstances beyond its control, including but not limited to weather, natural disasters, or government restrictions.
9. Photography and Media Release
9.1 By participating, vendors grant the festival permission to photograph and/or record their booth and products for promotional purposes, including use on social media, websites, and printed materials.
10. Use of Space

11. Agreement
By submitting your application, you acknowledge that you have read, understood, and agree to abide by these Terms and Conditions. Failure to comply with these terms may result in removal from the event and forfeiture of any fees paid.
