Vendor Registration
All vendors must complete the registration process and submit full payment by the specified deadline.
Vendors must provide accurate details about their business, menu offerings, and booth requirements during registration.
Space assignments are at the discretion of the event organizer and are non-negotiable.
3. Licensing and Permits
Vendors must obtain and display all required permits and licenses, including but not limited to: Hendricks County Health Department Temporary Food Permit
Business license
Vendors are responsible for ensuring compliance with all local health and safety regulations.
4. Insurance
Vendors must provide proof of liability insurance with coverage of at least $1,000,000, naming Indy Juneteenth as an additional insured party.
Insurance documents must be submitted prior to the event.
5. Booth Setup and Equipment
Vendors must bring all necessary equipment, including tents, tables, chairs, cooking equipment, and extension cords.
All tents must be secured
Power and water access is not guaranteed.
Vendors requiring power must provide their own extension cords and adaptors.
Generators must be quiet and properly maintained to avoid noise disruptions.
6. Menu and Pricing
Vendors must submit their food type/menu for approval during registration to avoid duplication and ensure variety.
No changes to the approved menu are allowed without prior written approval.
7. Health and Safety
Vendors must comply with all health department regulations regarding food storage, preparation, and handling.
Vendors must maintain a clean and sanitary booth at all times.
All cooking equipment, such as grills or fryers, must be placed safely to avoid fire hazards or accidents.
8. Payment and Fees
All vendor fees are non-refundable unless the event is canceled by Indy Juneteenth.
Vendors are responsible for collecting and reporting their own sales tax.
9. Conduct and Responsibilities
Vendors must behave professionally and courteously toward attendees, staff, and other vendors.
Vendors are responsible for their own setup, teardown, and cleanup. Booth spaces must be left free of trash or debris.
Trash must be disposed of in designated dumpsters. Grease disposal is prohibited on site.
10. Event Modifications or Cancellation
Indy Juneteenth reserves the right to modify event details or cancel the event due to circumstances beyond our control, including severe weather or public health emergencies.
Vendors will be notified promptly of any changes.
11. Liability Waiver
Indy Juneteenth is not responsible for any lost, stolen, or damaged property, or for any injury that occurs during the event.
Vendors assume full responsibility for their property and operations, including any damages or injuries resulting from their setup or activities.
