Vendor Rules and Regulations for 2025 Carolina Strawberry Festival

Vendor Categories
Food Vendors: Must provide health permits and insurance.
Exhibitors: Includes businesses and organizations showcasing products or services.
Non-Profits: Must provide proof of non-profit status.
Craft Vendors: Handmade or artisan products only.
Application and Fees
Application Deadline: April 18th, 2025
Application Fee: $25 (non-refundable)
Permits
Required Permits: All vendors must obtain necessary permits from local authorities.
Setup and Requirements
Please arrive at the vendor staging area (715 N. Norwood St. Wallace, NC) on Friday, May 2nd at 3pm for check in and setup. The vendor placement coordinator will direct you from the staging area to your appointed vendor space for unloading and then to the appropriate parking area.
Setup must be complete no later than 5pm.
Tents and Tables: Vendors who are using tents must provide their own tents, weights, tables, and chairs, etc. TENTS MUST BE WEIGHED DOWN OR WILL BE TAKEN DOWN. You may not tie your tent to another vendor. NO STAKES allowed; you will be on an asphalt surface.
Electrical Access: Limited electrical access is available for an additional fee. Please specify your electrical needs on the application.
Signage: Vendors must display clear and professional signage.
Cleanliness: Vendors are responsible for keeping their area clean and disposing of trash properly. Vendors whose products generate waste must provide trash containers for customer use.
Health and Safety
Food Safety: Food vendors must comply with all health and safety regulations, including maintaining proper food temperatures and sanitation.
NC Health Department Compliance: Food vendors must comply with NC Health Department regulations and obtain the proper permit to operate at the festival.
Prohibited Items
Restricted Items: The sale of alcohol, tobacco, and firearms is prohibited.
Hazardous Materials: No hazardous materials or open flames are allowed.
Conduct and Behavior
Professionalism: Vendors must conduct themselves professionally and courteously at all times.
Noise Levels: Amplified sound must be kept at a reasonable level to avoid disturbing other vendors and attendees.
Non-Discrimination: All vendors must adhere to a policy of non-discrimination and equal opportunity.
Cancellation and Refunds
Refund Policy: Booth fees are non-refundable. In case of event cancellation, vendors will be notified, and alternative arrangements may be offered.
Weather Policy: The event will proceed rain or shine. No refunds will be issued for inclement weather.
Compliance and Enforcement
Rule Adherence: Vendors must comply with all event rules and regulations.
Violation Consequences: Failure to comply may result in removal from the event without a refund and prohibition from future events.
Parking
Vendors must park in the assigned vendor parking area at 408 W Main St. Wallace, NC.
All vehicles must be moved off site and to the parking area immediately after unloading. We recommend bringing carts to assist with moving things in and out of the festival as vehicles will not be allowed back into the perimeter after unloading for setup. Any illegally parked vehicles will be towed at the owner’s expense. Festivities begin at 6pm Friday evening and end at 10pm. Saturday festivities begin at 10am and end at 10pm.
