Times/Set Up:
• Event hours from 5:00 – 7:00 PM
• Vendors must check in with the Event staff by 4:30 PM and must be ready by 5:00 PM.
• Vendors must be off of the premises by 7:30 PM
• Vendors shall stay in designated space and open entire time until 7:00 PM
• All vendors are responsible for personal booth set-up. Vendors shall stay in the designated space and shall not infringe on other vendors.
Locations:
• Provided by Elevate Vendor Events (EVE) two weeks in advance minimum. Our events are currently held across the Denver-Metro area with new locations opening in Colorado Springs and Fort Collins soon.
Payment/Refunds/Cancellations:
• All payments are made by credit card.
• In the rare occasion the resident count is below 25 participants, your next paid event will be 50% off. We are not able to issue refunds. In the event you have prepaid for a package, your next purchased event will be 50% off.
• Participants who have signed up for an event must notify EVE two weeks in advance if they are unable to attend. If vendor does not notify EVE of their absence two weeks prior, a $100 no show fee will be charged and no refunds are given.
• In the event that there is projected snow fall of 6 inches between 3:00 and 8:00 the decision will be made the day of the event by 12:00 pm to cancel. Refunds are not issued for cancelled events due to the weather and all vendors will be rescheduled.
Booth Spaces:
• The Event Host assigns all designated spaces. The spaces will be designated upon arrival.
• Booth Spaces are 8ft x 4ft. Additional space may be provided if available.
• Have information and goodies! IE Handouts, freebies. The more, the better!
• Vendors must maintain the space assigned to them in a clean and sanitary condition. The space must be left in clean condition when leaving. No trash may be left at the Event. No smoking or consumption of alcohol by vendors in the Event area.
Giveaways:
• All vendors must provide a giveaway. Please provide us with a $15 – $25 or more giveaway. We raffle off a gift basket at the end of the event and residents must visit all of the booths to be eligible. Suggested Giveaway: 1 Free Week at your Facility, Free Dental Cleaning, Bottle of Wine, Champagne, Complimentary Evaluation, Starbucks Gift card, ETC.
Fees and Taxes:
• All taxes, insurance and health permits are vendors responsibility. All local city/county and state taxes are the sole responsibility of the vendor. Elevate Vendor Events (EVE) will not be held liable for vendors actions and or taxes.
Sampling:
• Vendors may offer samples of their products and value-added foods provided that they practice good hygiene, proper sanitation and cleanliness. Vendors must obey the Sampling Guidelines for Colorado Markets.
• Samples may only be offered at the vendor’s booth. No cannabis/mushroom samples allowed.
Licensing and Regulations:
• All applicants must comply with current city, county, state and federal laws governing their business activities, and must provide current copies of any licenses, permits, inspections and certificates required for the sale of their products along with their application. Elevate Vendor Events and Event Location is not liable for vendors’ noncompliance with city, county, state and federal regulations.
Insurance:
• All food / beverage vendors must provide proof of commercial general liability policy in the amount of $1,000,000 and submit a waiver of liability, indemnifying Elevate Vendor Events, its board of directors, its volunteers and its employees against any and all claims arising from their participation in the Event. Vendors must name Elevate Vendor Events as an additional insured on their policies.
Vendor Selectivity:
• Elevate Vendor Events reserves the right to prohibit anyone from selling at the event or to prohibit any product from being sold there. These determinations will be made based on event demand, applicable laws and health codes, and the rules and regulations of Denver and at the Board of Directors’ discretion. Rules and regulations are subject to change for special event days and/or at the discretion and judgment of the Board of Directors.
Enforcement of Rules:
• Any violations shall be reported to the Event Host and Event Marketing Coordinator. Determination on how to handle each violation will be addressed. Any violation can result in expulsion of further events.
