Festival Vendor Terms & Conditions
Festival Dates: May 24-25, 2025, 9:00 AM - 9:00 PM ET

1. Event Overview
Neverland North Carolina (“Event”) will take place on May 24-25, 2025, with public hours from 9:00 AM to 9:00 PM ET. Vendors participating in the Event (“Vendors”) are expected to provide goods, services, or entertainment within the Pirate Village zone within the guidelines outlined below.
2. Vendor Registration and Fees
All Vendors must complete the registration process and submit any required documents by January 7, 2025.
A non-refundable registration fee is due upon approval of the application. You will be asked to submit card information with your application so that payment can go through upon approval.
Vendor fees are due in full prior to the event start date, and no refunds will be issued after payment is made. Vendor fee may be waived in select circumstances, for vendors with approved historical setups and (2) verified references.
Camping fees (if applicable) are separate and must be paid in advance. The cost for camping is $100-$200 for tents and $300 for RVs per night.
3. Booth Setup and Breakdown
Setup: Vendor booths must be set up by 8:00 AM on May 24, 2024. Late arrivals may not be permitted to set up.
Breakdown: Vendor booths may begin breakdown no earlier than 6:00 PM ET on May 25, 2024. All booth materials must be removed by 8:00 AM ET the following day or may be forfeit to clean-up by the venue staff. Vehicles will NOT be permitted on-site until after the last patron has cleared the area at 10pmET.
Vendors are responsible for their own equipment, booth construction, and safety measures. All booths must be fully contained within their designated space.
4. Camping on Festival Grounds
Eligibility: Camping is available to registered Vendors only. Only those with pre-approved camping reservations may stay overnight.
Camping Dates: Camping is available from May 23 at 5pmET (for early setup) to May 26, 2025. All camps must be cleared by 9amET on May 26, 2025.
Camping Areas: Vendors who wish to camp must set up their tents, RVs, or other camping accommodations in designated areas BEFORE 8:30amET on 5/24. Camping spaces will be assigned on a first-come, first-served basis.
Camping Equipment: Vendors are responsible for bringing their own camping equipment, including tents, sleeping bags, food, and other necessities. Electrical hookups may be available in certain areas for an additional fee. Please contact the organizers for availability.
Quiet Hours: To ensure a restful environment for all campers, quiet hours will be enforced from 12:00 AM to 7:00 AM. Excessive noise, including loud music, shouting, or vehicle engine idling, will not be tolerated.
Animals of ANY KIND are not permitted within the campsite without explicit written permission from the organizer. We strongly encourage individuals using service animals to seek alternative accommodations due to lack of available animal potty areas and LOUD noises from gunpowder demonstrations and ATV tracks.
5. Vendor Space
Each Vendor will be assigned a designated booth space of approximately [15 ft x 15 ft], unless agreed upon otherwise with Kat Tarsaswarm ("Organizer").
The Event organizers will provide basic infrastructure such as electricity and water within certain limits. Wi-fi is not provided at this event, and vendors will need to use personal hot spots to provide internet-based payments. Any additional requirements must be arranged and paid for by the Vendor in advance.
6. Permitted Products and Services
Vendors must only sell or display items or services that were approved in their application. The Event organizers reserve the right to ask vendors to remove any items deemed inappropriate, illegal, or unsafe.
All products must comply with local, state, and federal laws and regulations. Vendors are responsible for securing necessary licenses, permits, or health certifications for the sale of food, beverages, or other regulated goods.
7. Health and Safety Compliance
Vendors must adhere to all local health, safety, and environmental laws and regulations.
Food vendors must comply with all food safety laws, including obtaining any necessary permits or licenses.
Vendors are responsible for keeping their booth area clean and free of hazards. Any litter or waste must be disposed of in designated receptacles.
Vendors will be asked to refrain from smoking outside of designated areas. Vendors found to be smoking, vaping, or otherwise consuming marijuana products (including legal alternatives such as THCA, Delta-8, etc) will be asked to shut down without a refund. Consuming hemp-based, legal alternatives to marijuana will be permitted in the vendor/performer camping area ONLY.
8. Insurance and Liability
The Event organizers are not liable for any loss, damage, or injury incurred by Vendors during the Event. Vendors participate at their own risk.
9. Camping Liability
Vendors who camp on the festival grounds do so at their own risk. The Event organizers are not responsible for any personal injury, theft, damage, or loss of property incurred during the camping period.
Vendors are responsible for maintaining safe and secure camping practices, including ensuring that their camping equipment is properly secured and that their site is free of fire hazards.
10. Conduct and Behavior
Vendors must conduct themselves in a professional and courteous manner at all times. Aggressive behavior, harassment, or disruptive conduct may result in expulsion from the event.
All vendors must respect the rights of other vendors and attendees, including maintaining reasonable noise levels and avoiding obstruction of walkways.
During camping, any disruptive behavior (including loud noise, intoxication, or unauthorized use of drugs or alcohol) may result in eviction from the campsite and exclusion from the Event.
11. Security and Parking
The Event will provide on-site security during the event hours. However, Vendors are responsible for securing their own property and merchandise.
Vendor parking will be available in designated areas. Vendors must follow the Event's parking instructions and ensure that vehicles do not obstruct the flow of traffic.
Vendor vehicles will NOT be permitted to move through the festival grounds between 9am-9pmET.
12. Event Cancellation or Changes
The Event organizers reserve the right to cancel or reschedule the Event for any reason. In such cases, Vendors will be notified promptly, and a refund may be issued depending on the circumstances.
If a Vendor is unable to attend due to unforeseen circumstances, they must notify the Event organizers as soon as possible. Cancellations are non-refundable unless worked out otherwise with the Organizer.
13. Indemnification
Vendors agree to indemnify, defend, and hold harmless the Event organizers, sponsors, and their affiliates, employees, and agents from any and all claims, losses, damages, and liabilities arising out of the Vendor’s participation in the Event.
14. Miscellaneous
These Terms & Conditions may be updated or modified by the Event organizers. Vendors will be notified of any significant changes.
This Agreement is governed by the laws of NC, and any disputes will be resolved in the appropriate jurisdiction.
15. Acknowledgment
By registering as a Vendor for the Event, you acknowledge that you have read, understand, and agree to these Terms & Conditions.
