We are excited to have your interest in participating in this vibrant celebration of culture and community. Whether you offer arts, crafts, services, or other specialties, this event is a wonderful opportunity to connect with attendees and showcase your offerings.
This is an electronic agreement and by submitting an application, you are validating and approving this agreement electronically.
Please note that this festival requires Vendors to participate for the entire event. Leaving the event early is not permitted.
Terms & Conditions:
Event Details: North Carolina Wine & Jazz Festival 2025 is an outdoor event held on Saturday, May 10th 2025 with a rain date of Saturday, May 17th 2025 at Oak Hollow Festival Park 1841 Eastchester Drive, High Point, NC 27261.
Vendor Responsibilities: Accepted vendors are required to provide their own tents, chairs, and tables for their booth setup. All food trucks must be self-contained and have silent generators.
Participation: Every vendor and food truck participating in [insert event] agrees to be present and actively serving for the length of the event day. Your vendor table and food truck must be adequately staffed at ALL TIMES!!!
Electricity: Please be advised that there will be no access to electricity for vendors at this event. Vendors are responsible for bringing their own battery-operated lights and any other equipment requiring power.
Health Regulations: Food trucks must adhere to all food safety and hygiene regulations set by local health authorities to maintain a clean and safe food preparation environment.
Professional Presentation and Care: Food trucks and vendors must maintain a clean and well-presented space to enhance the overall aesthetic of the event. At the end of the event, food trucks and vendors should surrender the space used in the same condition as it was when taken over. If the participants, vendor, his employees, patrons, or guests shall damage the space occupied, the vendor shall pay such claims as are necessary to restore the space to its original condition. The vendor is liable for any and all damage caused to walls, floors, columns or other surfaces and objects or to the property of other vendors.
Vendor Placement: The Event Organizer(s) will make all space assignments. Vendors and food trucks must operate only within their allotted spaces. The Event Organizer(s) reserves the right, in its sole discretion, to make adjustments to the placement of food truck and vendor placement. No refund shall be made to any exhibitor or vendor who fails to occupy its assigned space by the time deemed. Further, the Event Organizer(s) reserves the right to utilize such unoccupied space in any matter it deems appropriate. Subletting or donation of space partially or in its entirety is not permissible without the written consent of the Event Organizer(s).
Sales and Transactions: All sales and transactions are conducted solely between the vendor and the customer. The Event Organizers are not responsible for any disputes, liabilities, or damages arising from transactions during the event.
Vendor Eligibility and Compliance: The Event Organizer(s) reserves the right to review and approve participating companies, products, or services to ensure they align with the event’s quality and standards. Vendors nor food trucks are permitted to display illicit merchandise, including sexual, drug related or profane materials, as determined by the Event Organizer(s). We appreciate your cooperation in maintaining a welcoming and inclusive atmosphere for all attendees. No vendor nor food truck may interfere with other exhibits by way of objectionable sounds, noises, odors or obstructive activities. Vendors are not permitted to sell unlicensed materials. The sale of audiotapes, videotapes, compact discs, etc. is prohibited. The Event Organizer(s) reserves the right to stop or remove from the event premises any vendor, or his representative who is performing an act or practice which in the opinion of the Event Organizer(s) is objectionable or detracts from the dignity of the event or is unethical or not in keeping with the business purposes of the event.
Pricing Transparency: Vendors and food trucks must clearly display prices for all menu items/offerings to provide transparency to customers.
Insurance Indemnity & Liability: All vendors and food trucks participating in [insert event name] agree to assume full responsibility for their own safety and the safety of their vending items while participating in [insert event name]. Exhibitor/Vendor maintains insurance coverage with reputable insurers in such amounts and covers such risks relative to the risk of the vendor’s/exhibitor’s business, including but not limited to health risk associated with any goods, products or services and shall present the Event Organizer(s) with a copy of such insurance as part of any and all vendor application requirements. In the event this insurance coverage is unavailable, exhibitor/vendor MUST sign a liability waiver prior to participating in the event. This waiver shall serve as an acknowledgment in lieu of providing proof of such insurance coverage. Exhibitor/Vendor agrees to indemnify and hold harmless the Event Organizer(s) and the venue facility from all liability that might follow from and cause including but not limited to accident or injury to invitees, guests, exhibitors, their agents, employees, volunteers, including loss or damage to personal property, rain or shine. This release and waiver of liability shall be construed broadly to provide a release and waiver to the maximum extent permissible under applicable law. By participating in the event, vendors acknowledge and accept this liability clause.
Refunds:
- All sales FINAL - method of payment is charged upon approval
- All fees are non-refundable and non-negotiable
- No refunds or credits will be issued for no-call or no-show
- No refunds for inclement weather
Inclement Weather: NCWJF is a rain or shine event, and we encourage all vendors to prepare accordingly for varying weather conditions. Please note that the event will only be cancelled in the event of a torrential storm or severe weather conditions deemed hazardous by event organizers.
Setup and Breakdown Requirements: All food trucks must be in place, assembled and ready to display, serve or distribute goods and services one hour prior to the doors opening. (NO EXCEPTIONS!). Food Trucks will be allowed access to their space a maximum of 2 hours prior to doors opening. Any food truck not set and ready to provide services 30 minutes before doors open will forfeit their space and any monies paid. THERE WILL BE NO REFUNDS. Load-in times and mandatory check-in will be specified in your confirmation letter. To ensure the safety of all patrons, if a vendor needs to leave the event space prior to one hour after the event ends, the vendor understands they may have to walk their vending materials to their vehicle outside of the event area. WE SUGGEST you bring your OWN hand truck or cart to transport items to and from your designated area. This event requires ALL vendors to participate for the entire duration of the event. Leaving early is not permitted.
Profit and Revenue Disclaimer: Due to the difficulty in forecasting consumer-buying habits, the Event Organizer(s) assumes no responsibility regarding profits and/or revenues generated at this event.
Application Approval: Please note that you must receive an official approval message via Eventeny to be officially considered as a Vendor for this event. Your credit card will not be charged until your application has been approved.
By submitting the Vendor Application, vendors acknowledge that they have read, understood, and agreed to abide by the terms and conditions outlined above. Failure to comply with these terms may result in the revocation of booth privileges without refund.
