Artist Alley at Calera Nerd Fest 2024

Calling all artists, crafters, and creators! Calera Nerd Fest invites you to showcase your talent and passion in our Artist Alley. This is a prime opportunity to share your unique work with a crowd of pop culture enthusiasts, collectors, and fellow creators. Whether you specialize in original artwork, fan art, prints, crafts, or handmade goods, this event is your chance to connect with fans and gain exposure.

Artist Alley Details:

• Space Size: 8'x8' space
• Cost: $50 per space
• Application Deadline: November 8, 2024
• Event Time: 6:00 PM - 12:00 AM (Exhibit Hall closes at 10PM)
• Location: Calera Courtyard and surrounding Main Street Merchants
• Artist Alley Hours: Artists are required to be set up by 5:00 PM and remain until 10:00 PM.

What You’ll Get:

• One 8’x 8’ space to display and sell your creations
• One 6’ table and two chairs (you may bring additional displays if they fit within your space)
• Access to a diverse crowd of pop culture fans
• Opportunities to network with other artists, creators, and vendors

Artist Requirements:

• All items for sale must be the artist’s original work or fan art inspired by licensed characters.
• Merchandise must be family-friendly and suitable for all ages.
• Artists must provide their own displays, materials, and any additional setup needs beyond what is provided.

Selection Process: Space is limited and applications will be reviewed based on quality, creativity, and variety of work. Priority will be given to artists whose work complements the overall theme of Calera Nerd Fest.

Terms and Conditions for Vendors & Artists at Calera Nerd Fest 2024

Event Date & Location

• Date: November 16, 2024
• Exhibit Time: 6:00 PM – 10:00 PM
• Location: Calera Courtyard and surrounding Main Street Merchants, Downtown Calera, AL

Application Process

• Applications must be completed in full and submitted by November 8, 2024.
• Calera Nerd Fest reserves the right to approve or deny any application based on the appropriateness of the vendor’s goods, services, or artwork for the event.
• Vendor spaces are limited, and acceptance will be based on the quality and uniqueness of products.

Fees & Payments

• Vendor fee is $100 per 8’ x 8’ booth space in Vendor Hall.
• Artist fee is $50 per 8’ x 8’ space in various Main Street shops
• Payment must be received in full upon acceptance to secure your spot.
• All payments are non-refundable unless the event is canceled by Calera Nerd Fest organizers.

Set-Up & Breakdown

• Vendor setup begins at 12:00 PM on November 16, 2024. Vendors must be completely set up and ready by 5:00 PM.
• Vendors are responsible for providing their own tables, chairs, tents, and displays unless otherwise specified in the vendor package.
• All booths must remain open and operational for the entire exhibit duration. Breakdown starts at 10:00 PM. 
• Vendors must ensure their area is clean and all trash is properly disposed of before leaving.
• Exhibit Hall will be vacated for cleaning by 10:30PM

Booth Assignments

• Booth locations will be assigned by the Calera Nerd Fest team and are non-negotiable.
• Spaces are assigned to create a balanced and diverse layout for event attendees.
• Vendors may not sublet or share their booth with another vendor unless pre-approved by event organizers.

Product & Sales Guidelines

• All products for sale must be family-friendly and appropriate for all ages.
• No items that promote hate, violence, or discrimination will be permitted.
• Vendors are solely responsible for complying with local, state, and federal regulations regarding the sale of their goods, including but not limited to taxes, permits, and licenses.
• Calera Nerd Fest does not take responsibility for any sales, transactions, or disputes between vendors and customers.

Conduct & Liability

• Vendors and their employees or representatives must conduct themselves professionally at all times. Any inappropriate behavior, including but not limited to harassment, aggressive sales tactics, or disturbing other vendors/attendees, will result in immediate expulsion from the event without refund.
• Vendors are responsible for the security of their own products and equipment. Calera Nerd Fest and the City of Calera are not liable for any theft, damage, or loss of property.
• Vendors must carry their own liability insurance for their booth and merchandise.

Weather Policy

• Calera Nerd Fest is a rain or shine event. ALL Vendors and Artists booths will be located indoors. 
• In the case of severe weather, the event may be delayed or canceled at the discretion of event organizers. No refunds will be given for weather-related cancellations or delays.

Health & Safety

• Vendors must comply with all local health and safety regulations, including food vendors who are required to provide proof of appropriate permits.
• Vendors are expected to maintain a clean and safe environment within their booth space to ensure the safety of event attendees.

Promotion & Media

• By participating in Calera Nerd Fest, vendors agree to allow event organizers to use their name, business, and images of their booth/products for promotional purposes.
• Vendors are encouraged to promote the event through their own social media channels and networks.

Cancellation Policy

• If a vendor must cancel their participation, they must notify Calera Nerd Fest organizers in writing by November 5, 2024. No refunds will be issued for cancellations after this date.
• In the unlikely event that Calera Nerd Fest is canceled by the organizers, all vendors will receive a full refund.
