Prohibited Items:
This is a family-friendly event. The following items are strictly prohibited from being displayed, sold, or distributed: firearms (knives are permitted), pornography of any kind, controlled substances, drug-related paraphernalia, and any offensive or profane items. Prostitution and gambling in any form are also strictly prohibited. The Chamber of Commerce staff has the sole authority to determine if a vendor has violated this policy. If a violation is confirmed, the vendor will be removed from the event for its remainder without a refund of the vendor fee.
Electricity:
Electricity is limited. If you require electricity, please indicate this during registration. Vendors are responsible for providing their own power cords.
Water:
Water is not provided.
Sales Tax:
Vendors are responsible for the collection and payment of all applicable state sales taxes, in accordance with Arkansas law.
Parking:
All vendors must park in the designated vendor parking area. Vehicles are not permitted to remain near the vendor area for convenience. A parking pass for one vehicle will be provided.
Vendor Fees:
Traditional Vendor Space: Located in the lot off Washington Street, between the food vendors and the music store. The fee is $155.00 per 10" x 10" space. Additional 10" x 10" spaces are available at $100.00 each after the first space. Tents that exceed 10" x 10" (measured from leg to leg) will not be allowed due to space limitations. This fee includes a city permit fee ($25.00) and a parking pass for one vehicle.
Prime Vendor Space: Limited to three spaces on Washington Street directly across from the food vendors. Pre-approval is required. The fee is $305.00 for a 10" x 20" space. This fee includes a parking pass for one vehicle. Note: No stakes can be driven into any paved lot.
Non-Profit Vendor Space: The fee is $105.00 per 10" x 10" space. This fee includes a parking pass for one vehicle.
Set-Up and Tear-Down for Vendors:
Vendors are responsible for setting up and tearing down their own displays. Set-up must be completed by 9:00 AM on Friday, August 15, with all vehicles moved to the designated vendor parking area by this time. Vendors may cover their items and leave them overnight (at their own risk) or remove them and set up again on Saturday morning. On Saturday, vendors must be set up by 8:00 AM, with all vehicles moved to the designated parking area by this time. No exceptions will be made. Vehicles are not allowed in the vendor area during set-up.
Tear-Down:
No vendor, including non-profits, will be permitted to tear down before 5:00 PM on Saturday. This rule is strictly enforced for safety reasons, as many motorcycles will be parked on the streets, and vehicle access to the vendor area will be strictly prohibited. Please dismantle your area before bringing your vehicle to load.
Trash:
Trash cans will be provided throughout the event. Each vendor is responsible for managing their own trash. Boxes must be collapsed, and all trash should be disposed of in the provided dumpsters.
Event Name, Logo, and Artwork:
The event name "Mountains, Music, & Motorcycles," as well as the logo, are trademarked. Unauthorized use of the trademark, including altering the official logo or using the event name in any form, is prohibited. Violations will result in the immediate confiscation of items, which will not be returned.
Sponsorship:
Our sponsorship program offers vendors great exposure opportunities leading up to the Mountains, Music, & Motorcycles event. Sponsorship is vital to the success of the event. Reminder:
Mountains, Music, & Motorcycles reserves the right to refuse participation before or during the event to any vendor whose products, intentions, or attitudes are not compatible with the family-oriented nature of the event. Offensive merchandise will result in the vendor being removed from the event without a refund. Please discuss any questionable items with us in advance.
