Exhibitors

MomoCon and Children's Healthcare of Atlanta present the Extra Life for Kids Gaming Festiva that will take place Nov 2nd, 2024 for the listed open hours of 11a to 6p. Please note this is a charity event and is a separate application from MomoCon 2025. The Exhibits area will be located in the main event area within Gas South Convention Center Hall D. Each space will contain a a 6ft x 2ft table, 2 chairs, and 2 exhibitor passes (extras are available at no charge). These admissions not only grant early access to the Exhibit Hall but also provide full access to all of the events at the Gaming Festival. Vendors can acquire up to 3 spaces, as our space for this event is limited. We expect 1200-1500 attendees for this event, but make no guarantees about attendance. Pricing for booth spaces, in the Exhibit Hall is as follows:

• Standard space: $150 + eventeny fees

Note: The ability to select booth locations, by approved vendors, is intended to take place after the initial application period. We will provide advanced communication of when booth selection will be live. Spaces will include table and chairs but may not have side or back curtains due to space needs. Spaces will have a minimum of 8 feet in width and 6 feet in depth, but may have slightly more space as layouts are finalized.
For power, internet, and water line needs, contact will be provided to the Gas South Center for purchase opportunities. Parking at the venue is $5 per day. 

Join us on Nov 2nd from 11a to 6p at Gas South Convention Center (6400 Sugarloaf Pkwy, Duluth, GA 30097) for a gaming festival full of vendors, merchandise, free play games, and arcades! All profit will be donated to Children’s Healthcare of Atlanta, you can help kids and fund crucial research for the future while you shop and play!

Terms & ConditionsMomoCon and Children's Healthcare of Atlanta Gaming Marathon Rules and Regulations for Exhibitors General Convention Information We warmly welcomes all exhibitors to the Exhibitor’s Section of the event! The festival is scheduled November 2nd, 11a to 6p at the Gas South Convention Center. While we always strive to adhere to our initial plans, exhibitors should understand that occasional changes may be necessary for the overall good of the convention. Dedicated volunteers and professional security personnel will be available in the Exhibit Hall to minimize theft. Should any issues arise, including those with fellow exhibitors, please consult with our help desk. Venue Policies

• Staples, nails, tacks, and other tapes are strictly prohibited on floors and walls.
• Exhibitors are not to deface any venue materials permanently.
• Signage, banners, or flyers are restricted to your allocated space. An additional table will be set up for excess flyers.
• Sales or distribution of adult-themed material are strictly prohibited, and MomoCon has the authority to judge the appropriateness of all displays. MomoCon does not permit the sales of AI created artwork.
• The sale or display of weapons and other questionable materials is forbidden.

Pricing, Availability, and Setup

• The Exhibit's Area pricing is $150 per table, with additional processing fees. All booth prices exclude these processing fees.
• Exhibitors must respect boundaries and not encroach on neighboring spaces.
• No-shows risk losing their space, which might be sold at a discounted rate to waiting list patrons.
• Payment must be made during space selection; otherwise, you risk forfeiting your space.
• The Exhibitor's Area is located within Hall D in the Gas South Convention Center. Selling outside of this area is prohibited.
• Each booth comes equipped with a 6-foot table and two chairs. Curtains will not be provided.
• Any additional needs, like power or extra tables, can be sourced from our partners at the Gas South Convention Center.

 Reserving Multiple Spaces

• Exhibitors can reserve up to 3 spaces.
• Existing and approved Exhibitors may have the ability to purchase additional spaces on site at discount if Exhibitors do not arrive by 10a on Nov 2nd.

Hours of OperationLoad in and load out times will be communicated closer to the event. But load in will begin on Nov 2nd at 8am, potentially sooner. Information about Friday load in options is TBA.

Each table comes with two admissions. More are available for vendors upon request.
MomoCon reserves the right to limit booth availability.
By participating, exhibitors agree to the attached CONTRACT TERMS AND CONDITIONS.


Exhibitor Contract Terms and Conditions

• Provision of Space: MomoCon guarantees 6’ exhibitor tables within the “Exhibit Hall”. Space will be available for setup by 9am on Nov 2, 2024.
• Promotion: MomoCon will actively promote the event but does not guarantee a specific attendance count. 
• Subletting: Exhibitors cannot sublet their tables. 
• Safety and Liability: MomoCon is not responsible for damages or injuries. Exhibitors assume all risks associated with their participation.
• Prohibited Activities: Activities like smoking, selling unpackaged food, or possessing alcohol are not allowed in the Exhibit Hall. Bootlegged or copyrighted materials are strictly prohibited.  MomoCon does not permit the sales of AI created artwork.
• Compliance with Laws: Exhibitors must follow all local, state, and federal laws, especially concerning sales and taxes.
• Infringing Material: Selling or displaying material that infringes copyrights or trademarks can lead to immediate ejection.
• Offensive Material: MomoCon reserves the right to judge and potentially eject exhibitors for displaying inappropriate or offensive materials.
• Behaviour: Exhibitors must follow general convention attendee rules during off-hours.
• Security: MomoCon provides security after hours but is not liable for any losses.
• Setup and Decoration: Exhibitors must ensure all materials and decorations adhere to venue policies.
• Insurance: It's the responsibility of the exhibitor to have their insurance coverage.
• Changes to Agreement: MomoCon reserves the right to make changes to this agreement if necessary.
• Hold Harmless: Exhibitor will hold harmless MomoCon, Gas South Convention Center, and Children's Healthcare of Atlanta and event facilities or any of their respective officers, agents, employees, members, representatives or affiliates, from any liability, damage, loss, harm, claim, or injury to property or person of the Exhibitor, Exhibitor officers, agents, employees or other persons, whether caused by the negligence of MomoCon or event facilities, or from theft, fire, water, accident, or any other cause whatsoever.
• Liabilities: Exhibitors agree to not hold MomoCon responsible for any lost investments or revenues stemming from unclaimed or cancelled tables.
• Communication Failures: Breaches of this agreement resulting from communication lapses will be addressed in a manner that best serves the interests of both parties.
• Claiming Tables: Exhibitors are required to claim their tables by 10AM on Saturday Nov 2nd, 2024. If unable to do so, written notice explaining the delay must be provided to MomoCon at least one week prior to the mentioned date.
• Unclaimed Tables: Tables not claimed by the deadline may be reallocated or resold at MomoCon's discretion.
• Refunds on Cancellation: Exhibitors who cancel their spaces within 30 days of purchase are entitled to a full refund (100% of the booth's cost minus fees).
• Event Cancellation: In the unlikely event that this event is cancelled due to unforeseen circumstances, such as acts of nature or events beyond the control of MomoCon organizers, and the event can't be rescheduled, a good faith effort will be made to refund 50% of the exhibitor's payment.
