GENERAL INFORMATION & AGREEMENTBy reading the information below and submitting this online Artist Market Application & Agreement, you are agreeing to abide by all rules and regulations set forth by the event organizers in the 2024 Brookhaven International Festival and made a part hereof by reference.
ARTIST MARKET BOOTH SPACE IS LIMITED. The event organizers will review each application and notify the vendor of acceptance to the festival by email by
September 27, 2024. The event organizer has control over the applications accepted to the festival and reserves the right to limit booths of similar type. ALL DECISIONS OF THE ORGANIZERS ARE FINAL. Please understand Premier Events and the City of Brookhaven are unable to discuss acceptance or non-acceptance by telephone or email.
ONLY PRODUCTS AND DISPLAYS detailed in this application can be sold at the event. The vendor must be present at the event booth throughout the festival unless other arrangements have been made with festival organizers. Vendors must describe/list on the application items to be sold at the festival. If a vendor conducts activities or features displays that were not listed on the application OR has misrepresented their business in any way, the festival organizers reserve the right to ask the organization to leave the festival.
ELECTRICITY: Vendors will need to bring generators for all power needs, there will NOT be electricity available on site. Vendors need to supply their own power strips and extension cords.
WEATHER: The festival will take place rain or shine, and approved vendors agree to be present during festival hours despite weather conditions. Tents and banners should be properly weighted to withstand wind gusts and heavy rain. Brookhaven International Festival is a rain or shine event. The Vendor agrees that in the event of acts of God, storms, floods, high winds, gales, or hurricanes, neither Premier Events nor any of its employees or agents shall be responsible for loss, damage, third-party damages, claims, or loss to property, persons, or vessels. It is the Event Management’s sole and absolute discretion to order an evacuation of the Event or to take necessary steps to protect public health and property in the event of an act of God, hurricane, or the issuance of a severe weather warning for Atlanta or its environs by the National Weather Service.
ACTS OF GOD: Premier Events and its affiliates shall have no liability whatsoever for damage, of any nature, to any person, matter, or thing resulting from storm wind or water, or other acts of God, or imminent threat thereof, nor from fire, strikes or lockouts.
BOOTHS A 10’ x 10’ OR 10' x 20' SPACE will be provided to each vendor for both days unless a larger space is requested and approved in advance. VENDOR MUST PROVIDE THE FOLLOWING IF NEEDED: WHITE Tent (40lb weight on each tent leg is required), table, chair, and battery-operated lights for booth set up and operation.
Only WHITE tents will be allowed at this event. Tent rental is available upon applying, but will NOT be available day of. If you choose to bring your own
WHITE tent, you will be responsible for the set-up and break-down. weights and siding required for your booth.
FIRE MARSHAL REQUIREMENTS:Tents shall comply with the 2018 International Fire Code (IFC), Chapter 31, Tents and Other Membranes. Tents shall comply with 2018 IFC, Section 3104, Flame propagation performance treatment. In layman’s terms, all tents are required to be flame resistant. A flame propagation tag shall be permanently affixed to the membrane structure.
NO open flames under tents will be allowed for this event.
BOOTH ASSIGNMENTS, load in/out, and set up/breakdown instructions will be issued via email at least 2 weeks before the event. We will try our best to accommodate special requests.
EVENT MAPS/VENDOR LOCATIONS: PE will make Vendor location assignments approximately two (2) weeks prior to the event. Space assignment priority will be given based on the date of receipt of the down payment as well as the type of art being offered. Vendors with child-friendly booths may be placed near the kids' zone. PE reserves the right to make modifications to the layout of the exhibit area if circumstances warrant, at its sole discretion. Vendor area must be confined to the space contracted and provided.
THE CITY OF BROOKHAVEN is not responsible for the loss or damage of merchandise.
LIABILITY WAIVER AND RELEASE: Vendors/participants assume all responsibility for, and risks and hazards of, participation in the rental activity planned by the organization. In consideration of the City of Brookhaven providing permission to use the space requested, vendors/participants and all members of the rental group do hereby release the City of Brookhaven, including all officials, officers, employees, sponsors, organizers, supervisors, volunteers, participants, and all other agents, of any and all claims, demands, rights, and causes of action of whatever kind and nature, arising from and by reason of, and all known and unknown, foreseen and unforeseen, bodily and personal injuries, damage to property, and the consequences thereof, resulting from participation in the rental activity planned in the City of Brookhaven.
PAYMENT: The upfront fee will be charged to accepted vendors at the time of acceptance. No vendors will be acceoted without payment processed.
CANCELLATION: Once the vendor has been accepted and booth space has been paid, your booth space will be reserved for you. There are no refunds for cancelations or no-shows.
INSURANCE: All vendors are required to provide Premier Events proof of insurance for $1,000,000.00 Liability coverage (and needs to cover days of the event). If you are in need of insurance, please contact:http://www.shahinianinsurance.com/
