Application and Booth Information
  • Application - Submission of an application does not guarantee acceptance.
  • Application Approval or Rejection - Acceptance, Waitlist, or Rejection of Application will be sent via notification on eventeny or if necessary via email. Event staff will not discuss applications via phone without prior written confirmation.
  • Fees - Application and Booth Fees are non-refundance. All fees must be paid prior to the event. 
  • Space Assignments - Space assignements and setup times will be sent via email/eventeny, prior to the event. 
  • Vendor Placement and Participation - The John's Pass Seafood Festival and it's staff have the right to move, discontinue, or limit the participation of any approved vendor or applicant at any time.
  • Booth Spaces - Booth Spaces will be approximately 10’x10’ or 10’x20’. Only one vendor per space, NO subletting or sharing of space allowed. Spaces larger than 10’x20’ will require approval by the City of Madeira Beach and the event committee. All vendor contents must be with in the alloted booth space. Placing items in pedestrian walkways is strictly prohibited. 
  • Prior Event Participation - Previous participation in the John's Pass Seafood Festival does not guarantee your acceptance to this event. The committee reserves the right to select vendors which will maximize the value of the overall event. 
Event Information
  • Rain Or Shine - The 43rd Annual John's Pass Seafood Festival will be held rain or shine. There will be no refunds for failure to show, inclement weather, cancellation or any other reason. 
  • Photo/Video Release - Photos and/or video may be taken of you, your tent, and/or your products at this event and be used in future promotional materials. 
  • Exclusivity - Exclusivity will not be granted to any one vendor. However, considerations and precautions will be take to limit duplication of similar items. Sales shall be limited to the items listed/included on your approved appliation.
  • Items for Sale - The sale of firearms, alcohol, counterfit items, obsecene materials, stolen merchandise, and illegal paraphernalia is strickly prohibited at the 43rd Annual John's Pass Seafood Festival. Vendors caught selling any of these items will be removed from the event. 
 
Vendor Responsibilities
  • Canopies - Canopies must be weighted on all four corners. 30lb or more weight per leg. Vendor is responsible for any and all damages caused by your canopy. Canopies must have an attached label or tag to prove it was manufactured with flame retardant material.
  • Supplies - Vendors must provide their own commercial grade canopy, tables, chairs, extension cords, display, and any other items necessary for their setup.
  • Power - The Event does not provide power unless otherwise noted.
  • Generators - Quiet Generators are permitted. If you generator is deemed to be loud or disruptive, you may be asked and must agree to discontinue use immediately. 
  • Booth Area - All of the vendor’s equipment and materials, must fit within their designated booth space and be constructed to withstand inclement weather. The area around your booth must be kept clean and free of debris at all times. The area around your booth must be cleaned each evening upon closing.
  • Booth Space - You must accept the assigned booth location for the event.
  • Operations - You may only operate during event hours.
  • Amplified Sound - You may not use any public address system or sound amplifiers of any kind.
  • Vendor Disqualification - The City of Madeira Beach and/or its designee reserves the right to close any vendor who does not comply with all event rules and regulations throughout the event.
  • Fire Extinguisher - Although not required (Unless you are a food vendor), we suggest and request that all other vendors also have fire extinguishing equipment available at all times.
  • Sales Tax - Vendors are responsible for collecting and reporting their own sales tax. 

Food Vendors

  • Insurance - ALL VENDORS MUST OBTAIN AND PROVIDE PROOF OF GENERAL LIABILITY INSURANCE and are required to procure and maintain the following types and limitations of liability insurance:

    • Commercial General Liability Insurance identifying the City, a political subdivision of the State of Florida, and its officials, employees, and volunteers as additional insureds with an endorsement equal or broader to CG 20 26 04 13 from and against all claims, demands, causes of action, expenses, costs, or liability for injury to or death of persons or damage to or loss of property arising out of or in any manner connected with the Vendor’s services or event in the amounts of not less than ONE MILLION DOLLARS ($1,000,000.00) PER OCCURRENCE and TWO MILLION DOLLARS ($2,000,000.00) general aggregate.
    • Insurance can be procured in numerous manners which include but are not limited to the following: www.insurancecanopy.com, www.actinsurance.com, etc. 
  • Food vendors may only sell approved food and beverage items during the festival. Alcohol sales are strictly prohibited. The Festival will be providing the sale of alcoholic beverages and water.
  • Inspection Notice - Booth Spaces will be inspected by the Madeira Beach Fire Department and Florida Department of Health Division of Hotels and Restaurants. If booths are not in compliance with fire and health standards, it is subject to being shut down. All electrical cords must be securely covered throughout the weekend. Power strips are the major cause of power failure and use will not be permitted with festival power.
  • Sanitation - The City of Madeira Beach will provide dumpsters. Properly dispose of all trash is required by provided or vendor will be immediately removed from event. BE SURE TO DISCARD YOUR OWN TRASH AND DEBRIS THROUGHOUT THE WEEKEND in order to avoid being fined or removed from the festival. Please be sure to thank our City Staff and leave your area as clean as when you arrived!
  • Cooking Oil and Grey water - Cooking oil and grey water containers will be provided on site for the proper disposal of materials. Failure to do so will result in the immediate removal from the event.
  • Cooking/Work Area - All food vendors who are cooking on site, outisde of a food truck, are required to cover the area under your equipment and work area with tar paper to protect the cleanliness of the event venue. You will not be allowed to operate if you do not comply with this condition. At the conclusion of the event, it will be the responsibility of the vendor to properly disposed of. 

 

Setup & Break Down
  • Security - Security will be provided overnight for the event. Vendors are fully responsible for their own personal property. The City of Madeira Beach and the 43rd Annual John's Pass Seafood Festival assume no responsibility for the loss of any item. 
  • Load In / Setup - Unload your product at your assigned booth space and immediately move your vehicle to the designated vendor parking area before you begin your set up.
  • Load Out / Breakdown - No early break down. All vendors must remain for the duration of the event. When the event is officially over, break down your display and pack your booth before bringing your vehicle inside the event footprint. For the safety of the general public, be sure an all clear for vendor pack up has been given before proceeding beyond the event barricades.
  • Vehicular Traffic - Unauthorized vehicular traffic inside the barricaded area during event hours is strictly prohibited. Violators may be issued a citation by local law enforcement and participation in the event will be discontinued.
  • Vendor Parking - Vendor Parking will be available in the Winn-Dixie Parking Lot at 15200 Municipal Dr, City Hall Parking Lot at 300 Municipal Drive and along the road near the Rex Center at 200 Rex Place. Trailers longer than 20ft must be parked at Winn-Dixie in the designated parking area. Any trailers parked either of the other two lots will be towed at the owners expense. 
 
Waiver, Release, and Hold Harmless Agreement
  • Applicant and/or sponsoring organization shall defend, indemnify, and hold harmless the City of Madeira Beach, its officials, agents, employees and volunteers from and against all actions, losses, damages, liability, costs and expenses of every type and description, including, but not limited to, attorney’s fees, to which any or all of them may be subjected by reason of, or resulting from, directly or indirectly, in whole or in part, the acts or omissions of the applicant, sponsoring organization, or its officers, agents, employees or volunteers directly or indirectly arising from the participation in the 43rd Annual John's Pass Seafood Festival. 

*Enforcement of these terms and conditions are at the sole discretion of the City of Madeira Beach. The City of Madeira Beach reserves the right to make final interpretation of all event rules.*

Prices

Application Fee $30 Non-refundable There is a $30 non-refundable application fee which is charged upon application.
10 x 10 Booth Space - Food Vendor $600 Non-refundable 10 x 10 Booth Space - You will not be charged for the booth space until you have been approved as a vendor.
10 x 20 Booth Space - Food Vendor $1,200 Non-refundable 10 x 20 Booth Space - You will not be charged for the booth space until you have been approved as a vendor.
10 x 30 Booth Space - Food Vendor $1,800 Non-refundable 10 x 30 Booth Space - You will not be charged for the booth space until you have been approved as a vendor.
Food Truck $1,200 Non-refundable This application is only for a food truck space. Fee will be charged upon approval.
