About the application

Welcome to the Hello Fall Market on the Green at Phipps Plaza! We are thrilled to invite local artisans, makers, and small business owners to apply for our fall market series. This guide provides essential information to help you complete your application and understand our event protocols. **Please Review Vendor Guide Attached**

 

General Information:

You are applying for the date of:

- Saturday, October 12th, 11:00 AM - 6:00 PM

 

Our market aims to celebrate the essence of fall by showcasing unique, fall-inspired products from local artisans and small businesses. We are committed to fostering a supportive community atmosphere and offering a memorable experience for all attendees.

 

Accepted Categories:
We are seeking vendors in the following categories:
- Art and Craft: Handcrafted items such as jewelry, pottery, textiles, paintings, and more.
- Food and Beverage: Pre-packaged gourmet foods, baked goods, artisanal beverages (non-alcoholic).
- Home Decor: Fall-themed decorations, candles, home accessories, and more.
- Health and Beauty: Natural skincare products, wellness items, and related goods.
- Fashion and Accessories: Fall fashion apparel, accessories, and footwear.

 

Category Descriptions:
- Art and Craft: Original handmade creations that reflect the artisan's creativity and craftsmanship.
- Food and Beverage: Artisanal foods and beverages that are packaged for off-site consumption. All food vendors must comply with local health regulations.
- Home Decor: Items designed to enhance the home environment, especially those with a fall theme.
- Health and Beauty: Products that promote personal care and wellness, made from natural or organic ingredients.
- Fashion and Accessories: Clothing and accessories that capture the spirit of fall, showcasing unique designs and high-quality materials.

 

Event Protocol:
- Application Review: All applications will be reviewed by the Hola Amiga Experience team and the Phipps Plaza management team. Acceptance is based on the uniqueness and quality of products, as well as alignment with our event theme.
- Approval Notification: Vendors will be notified of their acceptance status within two weeks of application submission, beginning August 1st.

 

Food Management:
- Health Permits: All food vendors must provide a valid health permit and comply with local food safety regulations.
- Sampling: Food sampling is allowed but must be conducted in a hygienic manner with appropriate handling procedures.

 

Parking:
-Vendor Parking:Vendors will be provided with designated parking areas. Detailed parking instructions will be sent upon acceptance.
- Load-In and Load-Out: 
  - Load-In: Begins at 9:00 AM and ends at 10:30 AM on the day of the event. Late arrivals may result in exclusion without a refund.
  - Load-Out: Begins at 6:00 PM and must be completed by 7:00 PM. Early breakdowns are not permitted.

 

Setup and Breakdown Information:
- Booth Setup: Vendors are responsible for setting up their booths, including bringing all necessary equipment (tables, chairs, displays). White canopy tents are mandatory for a uniform look.
- Electricity: No electricity will be provided. Vendors requiring power must bring their own battery sources.
- Cleanup: Vendors must clean their booth area before departure, removing all trash and debris. Failure to comply will result in a cleanup fee of $250 per half-hour.

-Marketing Support: We provide robust marketing support, including social media promotions, email blasts, and media coverage. Our previous events have been featured on Good Day Atlanta, providing excellent exposure for our vendors.
- Vendor Support: We offer a free 45-minute consultation with Kaysel Weiner to help you design your booth for maximum impact.

Terms & Conditions

By applying to participate in the Hello Fall Market on the Green at Phipps Plaza, you agree to the following terms and conditions:

1. Review of Vendor Guide
   By submitting this application, you confirm that you have reviewed and agree to abide by the guidelines and requirements outlined in the attached vendor guide.

2. Application and Selection Process
   - All applications are subject to review and approval by both the Hola Amiga Experience team and the Phipps Plaza management team.
   - Acceptance is based on the uniqueness and quality of products, as well as alignment with our event theme.
   - Vendors will be notified of their acceptance status within two weeks of application submission.

3. Vendor Fees and Payments
   - All vendor fees are non-refundable once paid, except in the case of event cancellation by the organizers.
   - Payment of vendor fees is required upon acceptance to secure your booth space.

4. Event Participation
   - Vendors must comply with all setup and breakdown schedules as specified in the vendor guide.
   - Booths must remain operational and open to customers throughout the event hours (11:00 AM to 6:00 PM).
   - Vendors are responsible for bringing all necessary equipment for their booth, including tables, chairs, displays, and white canopy tents.

5. Health and Safety
   - All food vendors must provide a valid health permit and comply with local food safety regulations.
   - Vendors must follow all health and safety guidelines as directed by event staff, including any COVID-19 related protocols if applicable.

6. Conduct and Compliance
   - Vendors are expected to conduct themselves in a professional and respectful manner at all times.
   - Any disruptive, aggressive, or inappropriate behavior will not be tolerated and may result in immediate removal from the event without a refund.
   - Vendors must adhere to all event guidelines and regulations as outlined in the vendor guide.

7. Liability and Insurance
   - Vendors participate in the event at their own risk. The event organizers, sponsors, and venue owners are not liable for any injury, loss, or damage occurring at the event.
   - Vendors are encouraged to carry their own liability insurance to cover any potential risks.

8. Use of Space
   - Vendors must maintain a clean and orderly booth space throughout the event.
   - No stakes are allowed for securing tents; suitable weights must be used instead to prevent damage to the artificial turf.
   - All trash must be removed from the booth area before departure. Failure to comply will result in a cleanup fee of $250 per half-hour.

9. Marketing and Promotion
   - By participating in the event, vendors consent to being photographed, filmed, or recorded by event organizers for promotional purposes.
   - Vendors are encouraged to promote their participation in the event through social media and other marketing channels.

10. Amendments
    - The event organizers reserve the right to amend these terms and conditions at any time. Vendors will be notified of any significant changes.
