2025 EVENT INFORMATION

Artists at Tokyo, OK are merchants who may sell anything that is related to their own personal hard work, craft or designs but cannot be selling manufactured/pre-packaged items such as DVDs, keychains and plushies, etc.

APPLICATION & SELECTION 
Artist selection is 100% juried. As all applications will be reviewed, artists MUST submit a way to view their work - website, Tumblr, Facebook photo gallery, etc. 

This is strictly an application and does not guarantee you a space at the convention. 
 
If you are invited to join the Shopping Bazaar, you will receive an email with a payment link. Payment is due upon receipt and your space is not guaranteed until payment is made.

 
Please note, artists are more than welcome to share space; however, we must be informed prior to the convention.
 
Approximately 30 days prior to the convention, artists will receive an email with all load-in/out information. 

COST
Each table for an artist is $300 which includes all applicable taxes and fees.

This includes:
One (1) 6’ table
Two (2) full weekend badges
Two (2) chairs/table
Dedicated Internet Access
 
Please note, any artist can purchase up to two (2) tables. 
 
Additional items available:
Additional badges - $55
Tablecloth - $5
 
Please note, there is a max of four (4) badges allowed per table purchased. 

Additional item fees may be invoiced separately after table purchase. 

CANCELLATION POLICY
All sales are final. Rollovers can be requested for one (1) year.

Artwork, Copyright and Trademark

While the clear majority of the entertainment industry is not only tolerant but also very supportive of the Artist community and fan art, there are restrictions.  Due to changes in federal law concerning copyright and trademarks please follow these rules:

• Symbols and logos that are classified as Trademarked cannot be used or sold.  Examples can range from a company logo like Funimation’s or even symbols like the Flamel from Fullmetal Alchemist.

• Artwork and Crafts must be “one of a kind” and not available from any official source.  You CANNOT copy an already existing piece of art or merchandise sold by a licensed distributor.

• If you are asked to remove an item due to copyright or trademark concerns, please remove it promptly and without discussion.  This is to protect you as well as the event. Refusal or sell the item after being asked to remove it will result in your removal from the event.

Adult Products Policy

• Merchants may sell an item that is allowed by Oklahoma law that does not conflict with convention rules and regulations and is relevant to the Event venue.

• Any live-action video that is considered to be ‘XXX’ or displays sexual penetration is illegal in Oklahoma and banned from the convention. This includes special features on DVDs and printed inserts. Anyone found selling these items will be asked to remove them from the premises. Failure to do so will result in loss of convention space for the remainder of Tokyo, OK and the proper authorities may be notified.

• Media material requiring an age limit of 18 requires prior approval to sell. If approved, material must be covered, I.D. will be required to purchase, and OS4CA has the right to request removal of material. 

• This is a family-oriented convention that welcomes people of all ages and backgrounds.

AI Generated Art Policy

• Until further notice, the sale of materials generated in whole or in most part by any AI system by any Artist, Vendors, or Exhibitors (third parties) is strictly prohibited in Shopping Bazaars at events produced by OS4CA. 

• Third Parties found in violation of this ban will receive one (1) warning to remove the offending material from the premises and/or cease the sale of digital materials. Failure to comply will result in immediate termination of their permission to vend, revocation of any event entrance passes, and the removal of the party for the remainder of the event.

  • Determination for Warning and/or Removal shall fall to the Head of Shopping Bazaar Operations and/or the Director of Sales.

• We understand that some artists use legitimate assistive AI tools in the creation of their original artworks. This ban will not affect those works, but these works must be properly identified.

• This policy is to be stipulated in the agreements between the Company & any third parties.
