Below are the terms and conditions for all vendors, exhibitors, artists, or anyone selling products or services at Royaltycon. All vendors, exhibitors, artists, or anyone selling products or services at Royalty Con shall be referred to as “Vendors” and Iconic Conventions, LCC will be referred to as “Organizers”.
1. Vendors must have staff present at their booths during all vendor hall hours. Organizers will not be held responsible for any issues arising from an unstaffed booth during show hours.
2. Vendors may not break down their booths prior to the end of vendor hall open hours or the closing of the convention, and the loading dock will not be open for breakdown prior to the close of convention. Attendees of Royalty Con expect to be able to shop at the vendor hall until the close of the show, and Vendors leaving early looks bad on both the Royalty Con and the vendor. If a vendor breaks down their booth in violation of this policy they will not be welcomed back to any future event managed by Organizers.
3. Exhibitors must comply with all local, state, and federal laws, and will not hold Organizers liable for any breaches, losses, or damage to themselves or their property. All exhibitors agree to hold harmless Iconic Conventions LLC, Iconic Conventions LLC employees, contractors, or volunteers, as well as the Lancaster Convention Center and any of their employees, against any loss, damage, theft, expenses, claims, or actions arising from any personal or property damage, loss or theft due to said Vendors participation in Royalty Con. Organizer agrees to properly secure and provide overnight security in the marketplace area.
4. Vendor badges are non-transferable. Vendor personnel must wear official Vendor badges at all times during load-in, show days, and load-out. When outside of Marketplace hours the Vendor badge carries the same privileges as a 3-Day Weekend Badge. Vendor Badges may not be given to anyone other than your employees, and may not be used as prizes or giveaways.
5. Vendors are responsible for all actions of his or her booth staff or anyone wearing their company exhibitor badge. Vendor booth personnel found in violation of any show policies will be removed from the show premises and have their badge confiscated. Repeated violations or serious misconduct by Vendor or Vendor staff determined at the sole discretion of Organizers can lead to the removal of the Vendor from the Marketplace without a refund. Vendors removed in this way will NOT be allowed to return to future shows promoted by Organizer.
6. Vendors understand that Organizer is not responsible for insurance coverage for Vendors persons or property, and it is the Vendors sole responsibility to obtain insurance covering any type of loss.
7. Vendors understand that Organizer in no way endorses any Vendors company, merchandise, exhibits, views, beliefs, or actions. All Vendors are deemed to be their own sole entity and in no way reflect the views, beliefs, intentions, and/or direction of Organizer. Vendor may not publicly or privately claim an endorsement by Organizer or Royalty Con.
8. All merchandise or service bought or sold at Royalty Con are transactions strictly between Vendors and attendees/buyers, Organizer is not a party to or responsible in any way for any transactions made between said parties. Vendors must make clear to attendees that the Organizer does not make any warranty or carry any liability toward any merchandise or service bought or sold at Royalty Con.
8. The following items are considered banned merchandise or services and are not allowed to be sold at the Royalty Con marketplace. Any vendor caught selling these items will be warned to cease sale of the items immediately and remove them from the marketplace. If Vendor continues to sell these items they will be removed from the show and banned from future events promoted by Iconic Conventions, LLC. Any vendor caught selling any form of drug, weapon, or product in violation of state or federal law will be immediately removed from the premises and the relevant authorities will be notified.
8.1 No weapons of any kind (Including but not limited to guns, swords, knives, sharps, tasers, lasers)
8.2 No weapon replicas or plans, including 3D printed plans.
8.3 No tobacco, CBD, THC, Vapes, or any form of smoking related product or paraphernalia.
8.4 No products that are in violation of other companies copyrights or intellectual property.
8.5 No prepared food or drinks. The Lancaster County Convention Center has exclusive rights to food and beverage sales. Some exceptions for pre packaged foods may apply. Please verify with Organizer for written approval at the time of application for this exception.
8.6 No product that contains hate speech, offensive symbols, or political propaganda.
8.7 No sale or exhibit of live animals.
8.8 No sale of products related to gambling (This includes bingo cards or lottery tickets).
9. Adult materials must be either stored out of public sight, or if displayed on a table or booth covered so that minors may not open it. Any adult material containing nudity must be covered in accordance with local and state laws. Vendors agree not to sell any adult materials to minors and take full responsibility for verifying age of buyers. This is an all ages show and there is no age limit for the Marketplace.
10. Nudity is NOT allowed in the Lancaster County Convention Center property under any circumstances.
11. State tax and reporting is the sole responsibility of the Vendor. Please ensure to collect and report according to state laws.
12. No Vendor may block or interfere with other Vendors booths or with the aisle space. No exhibit or rack may be higher than 10’ without prior written approval by the Organizer. All booth signage should be front-facing only.
13. Vendor is responsible for all damage caused to the Lancaster County Convention Center, to other Vendors, or to property owned by Organizer.
14. Any property not removed from the Lancaster County Convention Center that has not been claimed within Six (6) hours following the end of the event will be considered abandoned by the Vendor. Excessive product or trash left by the vendor may result in an additional charge to the responsible Vendor.
15. Vendors hereby give permission to be photographed and video recorded by Organizer, and Vendors likeness used in the promotion of all future events promoted by Organizer.
16. No Vendor is allowed to sublease or transfer its space without prior approval from the Organizer. Organizer has the right to refuse any sublease or transfer.
17. Vendors are not permitted to solicit or sell in any part of the convention besides directly in front of their immediate booth/table area.
18. Organizer reserves the right to modify, change, add, or remove any terms to this agreement at any time. Upon a change, Organizer will inform Vendors within 7 days of the change to the agreement and the changes will take effect at the time of notification. If a change in the agreement prohibits the sale of products deemed core to the Vendors business, Vendor and Organizer may mutually cancel this agreement and a full refund with no cancellation fee will be paid to vendor within 14 days of notice of cancellation.
19. Organizer reserves the right to immediately terminate any Vendor that violates the terms and conditions listed in this document. Upon notification of termination the vendor must immediately vacate the premises with all their property and surrender their Vendor badges to the Organizer.
20. Should the Vendor find that they are not able to attend Royalty Con and have already contracted and paid for a space, they must notify Organizer immediately. Upon the date of notification the following cancellation policy will be in effect. If more than 180 days before the start of the event, a refund may be issued minus a 20% cancellation fee. If between 180 and 60 days before the start of the event, a refund may be issued minus a 50% cancellation fee. If notification is made less than 60 days prior to the start of the event, no refund will be issued. Please note that in all cases a notification should be made. A vendor who does not send notification of cancellation will be considered a “no show” and may be banned from all future events.
22. By applying for a Vendor booth or table at Royalty Con, Vendor agrees to all terms in this agreement.
