SPONSOR RULES AND REGULATIONS
All Sponsors of PTC Events must adhere to the following rules and regulations. City of Peachtree Corners (PTC) has the full power to interpret and enforce these rules, conditions and regulations, and the power to make reasonable amendments there to and to make such further reasonable rules and regulations necessary for the proper conduct of a safe, clean, well-regulated, and attractive Event.
ATTENDANCE
City cannot guarantee attendance numbers during events.
SPONSOR ONSITE ACTIVATIONS
All onsite activations and booth placement requests must be approved by the City 30 days prior to the event.
Tents must have straight legs and no overhang canopy. Tents cannot be staked to the ground and must be weighted down correctly. A 10x10 tent must have at least 40lb weights per leg. These must be proper tent weights and cannot be unconventional weights such as jugs or water or laundry detergent.
CERTIFICATE OF INSURANCE
All onsite activations must have a certificate of insurance that names both the event and the City of Peachtree Corners as additionally insured parties. Insurance must be a minimum of $1,000,000.
EXHIBIT AREA / CHARACTER OF EXHIBITS
All exhibits must be designed, constructed and operated in good taste with the best interest of the Event and public safety. PTC reserves the right to prohibit or restrict exhibits that because of noise, method of operation, materials or any other reason become objectionable. In the event that restriction occurs, PTC will not refund the Sponsor fees or other expenses.
Carnival tactics, the use of public address systems or other similar activities by the Sponsor shall not be allowed. The event does not guarantee exclusivity of products displayed. Sponsors may not sublease any part of their space or participate in any third-party advertising or third party promotions or display third party signage at their booths. Decorations may not be nailed, taped, tacked or otherwise fastened to park infrastructure, trees, or fixtures.
The use or distribution of any of the following items is prohibited: adhesive backed decals, stickers, helium balloons, glitter, and confetti.
Motorized vehicles of any type (forklifts, gas or electric carts, bicycles, scooters or similar equipment) may not be used inside the event venue.
Distribution of flyers, brochures or any advertising marketing materials must be confined to the exhibit area. Advertising and promotional materials may not be displayed in convention hallways, reception or common areas. Promotional materials or signage may not be affixed to any structure inside or outside of the event venue.
Sponsors are responsible for maintaining acceptable standards of sanitation within their booths and for disposing of trash into designated trash receptacles. Sponsors are responsible for cleaning their designated area of all debris at the event’s conclusion.
MARKETING MATERIALS
All logos, commercials, or graphics must be furnished to the City of Peachtree Corners at the time of approval of the application.
All copy for social posts must be received seven (7) days prior to scheduled posting a calendar will be provided to the Sponsor. Any copy changes must be in writing. If new material is not received by the closing date, the most recent insertion will be used.
Sponsors assume liability for all social content released and assume responsibility for any claims arising therefrom made against the City and agree to indemnify the City against any expense or loss suffered by reason of such claims. This includes suits for libel, plagiarism, copyright infringement and unauthorized use of a person’s name or photograph.
The City is not responsible for errors submitted in the content by the Sponsor.
CANCELLATION
Once approved, no refunds will be given.
ELECTRICITY
Power is extremely limited onsite. Any power needs should be confirmed with the City no later than 15 days prior to the event.
WIFI
There is public WiFi on the Town Green. Sponsors are welcome to use this if needed, but PTC cannot grantee speed or connectivity. We suggest all Sponsors have a backup WiFi source if needed for their space.
SPONSOR WASTE
Sponsors are responsible for taking care of all waste during the event. Sponsors will be responsible for packing up and disposing of their waste themselves. Waste left behind will result in a $100.00 clean up fee.
LOAD IN / LOAD OUT
Sponsors will receive information regarding load in and set up the week of the event. Sponsors that fail to abide by load in schedule and deadline may risk forfeiture of event space. In the event of late shows, event will not be obligated to refund sponsorship fee.
LIABILITY
The Sponsor assumes entire responsibility and hereby agrees to protect, indemnify, defend and save PTC against any and all claims, losses and damages to persons or property and attorney’s fees arising out of or caused by Sponsor’s installation, removal, maintenance, occupancy or use of exhibit space. In addition, the Sponsor acknowledges that PTC do not maintain insurance coverage covering Sponsor’s property and it is sole responsibility of the Sponsor to obtain such insurance, including, if desired business interruption and property damage covering losses by the Sponsor. Responsibility of the security of an Sponsors area, products and property rests solely with the Sponsor.
WEATHER
PTC Events are rain or shine events. The Sponsor agrees that in the event of acts of God, storms, floods, high winds, gales or hurricanes that PTC Events, City of Peachtree Corners any of its employees or agents shall not be responsible for loss, damage, third party damages, claims or loss to property, persons or vessels. It is the Event Management’s sole and absolute discretion to order an evacuation of the Event, or to take necessary steps to protect public health and property in the event of an act of God, hurricane, or the issuance of a severe weather warning for Atlanta or its environs by the National Weather Service.
ACTS OF GOD
PTC shall have no liability whatsoever for damage, of any nature, to any person, matter, or thing resulting from storm wind or water, or other acts of God, or imminent threat thereof, nor from fire, strikes or lockouts.
