By becoming a sponsor of the Hops in the Hills Beer Festival (hereafter referred to as "the Festival"), you agree to the following terms and conditions. These terms are designed to ensure a successful partnership for all involved and to clearly outline the obligations and expectations.
Sponsorship Agreement
Sponsorship will be confirmed upon receipt of the signed sponsorship agreement and full payment. The agreement will specify the sponsorship level, benefits, and associated costs. Sponsorship opportunities are available on a first-come, first-served basis and are only secured upon payment.
Payment Terms
Full payment for sponsorship is due within 30 days of signing the sponsorship agreement. Failure to make payment by the due date may result in forfeiture of sponsorship benefits and placement. Payment methods will be outlined in the invoice.
Cancellation Policy
No refunds will be issued. In the event of festival cancellation due to unforeseen circumstances, refund policies will be at the discretion of the organizers.
Sponsorship Benefits
Each sponsorship package includes specific benefits as outlined in the agreement. These may include logo placement, promotional mentions, booth space, and VIP access. Benefits are non-transferable and cannot be altered without prior written consent from both parties.
Use of Logos and Branding
Sponsors must provide their company logo, tagline, and other relevant branding materials by the deadlines specified by the Festival organizers. These materials will be used in promotional materials, signage, and other marketing efforts as outlined in the sponsorship package. The Festival organizers reserve the right to approve all logos and branding for use.
Exclusivity
Sponsorship is non-exclusive unless otherwise stated in the sponsorship agreement. Sponsors at higher levels may be granted exclusivity in certain categories (e.g., "Exclusive Beverage Sponsor") as agreed upon in writing.
Marketing and Promotions
Sponsors grant the Festival organizers permission to use their logos, names, and promotional materials for marketing purposes, including online, print, and social media. Sponsors are also encouraged to promote their participation in the Festival across their own channels.
Booth Space and Onsite Activation
Booth space or activations is not included as a sponsor benefit for this event.
Liability and Insurance
Sponsors agree to assume all responsibility for any damage or loss of property, personal injury, or other liabilities that occur during their participation in the Festival.
Compliance with Laws
All sponsors must comply with local, state, and federal laws, including regulations pertaining to the sale and promotion of alcohol (if applicable). Sponsors must ensure that all staff and representatives follow appropriate laws related to alcohol distribution, and no underage attendees will be served.
Force Majeure
The Festival organizers are not responsible for any loss or damage resulting from an event beyond their control, including but not limited to acts of God, natural disasters, public health emergencies, or government actions. In such cases, sponsors will be notified, and potential refunds or rescheduled events will be determined at the discretion of the Festival organizers.
Termination of Sponsorship
The Festival reserves the right to terminate the sponsorship agreement if the sponsor violates any terms of the agreement or engages in any activities that could harm the reputation of the Festival. In such cases, no refunds will be provided.
Indemnification
Sponsors agree to indemnify and hold harmless the Festival organizers, venue, and all associated parties from any claims, damages, or liabilities arising from their participation in the event, including but not limited to accidents, legal violations, or third-party claims.
Amendments
The Festival organizers reserve the right to amend these terms and conditions as necessary. Sponsors will be informed of any significant changes and will have the opportunity to discuss any concerns.
