St. Cloud Pride in the Park Terms and Conditions
By registering, you are agreeing to the following terms and conditions of this event registration:
The St. Cloud Pride in the Park festival is an outdoor event that will take place rain or shine. This event is located at Lake George / Eastman Park, 1101 7th St South, St. Cloud. This day will feature local performers, kid-friendly activities, food vendors, various other vendors along with local businesses / organizations. This is a tobacco and alcohol-free event.
These guidelines pertain to St. Cloud Pride, a Minnesota nonprofit organization and organizer of the festival, and its offering of space on the festival grounds. St. Cloud Pride reserves the sole right to approve the participation of any applying exhibitor or vendor. Any questions please contact us at info@stcpride.org. Your Space
Regular exhibitor/vendor spaces are rented out in 10’x10’ squares. Your tents must be free standing and cannot be staked into the ground. This also includes signs.
Tables and chairs are NOT included in registration. Tables are available as an ADD-ON for a fee.
Food / beverage vendor spaces are rented per vending unit. Exclusive Menus on a first come first server basis – Contact info@stcpride.org with your menu before registering.
Available exhibitor / vendor spaces will be assigned by St. Cloud Pride. St. Cloud Pride reserves the sole right to place exhibitors and vendors in any location St. Cloud Pride deems appropriate. Please let us know of any special requirements / requests.
Your Participation
You are required to have your booth(s) open from 11:00 a.m. until 4:00 p.m. Please DO NOT pack up early. Check-in is 7:00 a.m to 10:00 a.m. If you need an early or late check in, please contact info@stcpride.org.
Our intent is to create a vibrant environment. In past years, we’ve noticed that organizations including interactive elements to their booths receive higher levels of traffic. We invite you to do the same!
Late Registration
St. Cloud Pride requires participants to register online during our open registration. St. Cloud Pride reserves the sole right to refuse or accept any registrations by any exhibitor or vendor after online registration has closed. Participants who register after registration has closed will be charged a $200 late registration fee. Deviations from this policy may be negotiated with the Vendor or Exhibitor Director or their designee.
Insurance
It is highly recommended that you have proof of liability insurance present at your booth during the festival.
Food / beverage vendors are required to provide proof of insurance to St. Cloud Pride prior to the start of the festival.
Permits
It is your responsibility to set-up any necessary permits, licenses, and safety regulations (i.e. Health Permit, Minnesota Sales Tax, Fire Codes, etc.). All approved food / beverage vendors must submit a copy of their Health Permit to St. Cloud Pride no later than the Thursday prior to the event.
Cleaning Charges/Fees
St. Cloud Pride reserves the right to charge any exhibitor / vendor a cleaning fee should they leave their space(s) in a condition that requires additional cleaning. St. Cloud Pride also reserves the right to charge any exhibitor for damages from driving on the grounds at any time without prior written approval by the St. Cloud Pride Board of Directors. By registering, your organization / business agrees to pay this fee, if imposed, as a condition of participating in the festival.
Inclusion
St. Cloud Pride wishes to be as inclusive as possible in all of our events. Please contact us with any issues that might prevent your group from fully participating in the festival.
Subletting of Booth Spaces
You may not sublet your booth space(s) to another business or organization without prior written consent from St. Cloud Pride’s Vendor or Exhibitor Director or their designee. Subletting of booth space(s) is not allowed and will result in your expulsion from the festival grounds for the duration of the festival without any refund or other compensation. Expulsion from the festival grounds may also result in cleaning fees and/or other costs associated with your business/organization being assessed. Your business/organization agrees to these conditions and to pay any such fee(s) that may be imposed as a condition of participating in the festival. If your business / organization sponsor's the event but does not wish to utilize the booth space, please email us directly at info@stcpride.org.
Limitation to Stated Activities
You must limit your activities at the festival to those you state on your application, which must pertain to your organization / business. You must also limit the conduct of those activities to your booth space(s). Sales or distribution of anything done by walking through the festival grounds is not permitted.
Vehicles
St. Cloud Pride does not provide parking for exhibitors/vendors at the festival - this is your responsibility. St. Cloud Pride accepts no responsibility for any citations for exhibitors/vendors that are illegally parked. Exhibitors/vendors may access the festival venue by foot in order to set up their booth from 7:00 a.m. to 10:30 a.m. No vehicles are permitted on the park grounds unless written pre-approval has been provided by the St. Cloud Pride Board of Directors. Vehicles on the park grounds without pre-approval may be charged a fine.
Cancellations
You may cancel your application in writing at any time up to 30 days prior to the event for a refund of all deposits and fees paid, except any nonrefundable application fee. Cancellations made after this date will not be refunded.
Product Duplication and Exclusivity
St. Cloud Pride reserves the right to determine the number of businesses or organizations that exhibit or vend the same or similar products and/or services at the festival.
No Assumption of Endorsement, Affiliation and/or Sponsorship
Acceptance as an exhibitor or vendor by St. Cloud Pride does not imply endorsement of or affiliation with the organization and/or individual. An exhibitor’s/vendor’s presence at the festival does not in itself constitute sponsorship of St. Cloud Pride. The view expressed by exhibitors and vendors are not necessarily those of St. Cloud Pride, its community partners or its corporate sponsors.
St. Cloud Pride Sponsorship Policy
All sponsors must be reputable individuals and organizations whose image, product or services do not conflict with St. Cloud Pride’s mission or values. There is no obligation to accept any sponsorship offer. St. Cloud Pride’s long-term reputation and credibility takes precedent over short term monetary needs.
With each potential sponsorship the board should always raise the following questions:
Would this association be a good fit with St. Cloud Pride?
Does the sponsorship conflict with our values?
Does the sponsorship suit our overall strategy?
Will this sponsorship help us realize our mission?
Does this sponsorship create conflict within the community St. Cloud Pride serves?
If at any time a sponsorship comes into question St. Cloud Pride reserves the right to remove said sponsorship.
Failure to Follow Guidelines/Laws
St. Cloud Pride reserves the right to remove you from the festival grounds for failure to follow these guidelines, the instructions of festival staff or the laws and regulations of the St. Cloud City Parks and Recreation Board, City of St. Cloud, State of Minnesota or any organizations under those governmental entities. This would occur without any refund or other compensation. Such removal may also result in cleaning fees and/or other costs associated with your business/organization being assessed. Your business/organization agrees to these conditions and to pay any such fee(s) that may be imposed as a condition of participating in the festival.
