Terms & Conditions for Downtown Storefront Merchants

1. Eligibility & Participation
• Participation is open to downtown storefront merchants within the designated district.
• All participants must apply and receive confirmation from the market organizer.
• If you do not plan to set up a booth in front of your store, please do not submit this application. Instead, email Michael to request that a 10’x10’ space remain open for pedestrian access to your entrance.

2. Booth Setup & Breakdown
• Booths must be white 10’ x 10’ tents with 40 lb. weights attached to each leg (e.g. sandbags). This is non-negotiable and required by insurance, the fire marshal, and the City of Alpharetta.
• No setup before your assigned time. Load-in times will be scheduled based on your storefront’s location and will be emailed in advance. Early arrivals may cause delays and confusion for other vendors.
• All booths must be fully set up by 5:00 PM.
• You must remain open until 10:00 PM. No early breakdowns are permitted. Leaving early will result in disqualification from future Moonlight Markets.
• Booths must be broken down and off the street by 11:00 PM.
• The street will be closed to vehicles starting at 10:00 AM on event day. Any vehicle remaining after that time is subject to towing.
• Vehicles are allowed back into the market area only during your scheduled load-in window (you will have 30 minutes to unload and move your car to the designated vendor parking).
• You must unload first, move your vehicle, and then set up.

3. Booth Positioning & Shared Spaces
• Two 10’x10’ booths will fit side-by-side in each 22’ parallel parking space. Your space may be next to a neighboring merchant or a local artisan.
• Two of your tent legs must be positioned touching the white line of the parking space.
• You’ll receive a layout map about a week prior to the market and setup instructions s well.
** Michael will be on-site all day and night of the event if you have any questions about booth locations and how to position your tents in the parking spaces, etc,**

4. Display & Signage Rules
• Booths must be neat, professional, and everything must fit inside the tent footprint.
• Nothing is allowed in front of your booth: no racks, no displays, no signage, and no merchandise outside the tent area.
• No A-frame signs or street-facing signs may be placed in the middle of the street out in front if your booth for any vendors including retail stores. If your space is left vacant in front of your store then you may place a sign in that area as you see fit so long as it is the space in front of your store.
• Banners or signage may be hung inside or outside across the top/front of your tent—as long as they don’t obstruct your neighbor’s booth.
• No “clearance,” “percent-off,” or flea-market-style signage is allowed.
• Booths must reflect the same level of branding and professionalism as your storefront.

5. Products & Sales
• Only merchandise sold in your store may be featured in your booth.
• No food or beverage sales permitted.
• No third-party vendors may share your space.
• All sales must be processed through your store’s point-of-sale system, per city regulations. (You decide how that’s best handled—we’re just the messenger!)

6. Power & Lighting
• Electricity is available at shared outlets located in the mulched areas.
• You may use only two LED spotlights per tent, with a maximum of 7 watts per bulb, if using the city-provided power. The power grid is fragile and regularly trips with overuse.
• No generators or sound systems are allowed.
• Do not plug in devices like cash registers or phone chargers—these must be battery-operated or powered from inside your store. If running a cord, it must be safely taped to the sidewalk.

7. Inclement Weather
• This is a rain-or-shine event unless deemed unsafe by the city. You’ll receive updates by email if weather becomes an issue.

8. Code of Conduct
• Be kind, professional, and respectful to attendees, vendors, and staff.
• No disruptive behavior, political activity, or aggressive sales tactics.
• If you’re enjoying adult beverages, please do so responsibly.

9. Promotion & Marketing
• Retail merchants are strongly encouraged to promote the event via social media and email lists.
• Please send your store logo (PNG preferred) and any promotional details you’d like included in our marketing to Michael via email.

10. Insurance & Liability
• Participation is at your own risk. The event organizers and the City of Alpharetta are not liable for loss, theft, damage, or injury.
• Vendors are strongly encouraged to carry liability insurance.

11. No-Show & Communication Policy
• If you’re confirmed but don’t set up without prior notice, you may be disqualified from future markets.
• Please communicate openly and notify us at least 24 hours in advance if something comes up.
