Press Application Terms and Conditions
Effective Date: Upon submittal of application
These Terms and Conditions ("Agreement") govern the application and participation of press members ("Press", "you", or "your") for the Romancing the Villain ("Event") organized by Fae Ball Events LLC ("Organizer", "we", or "us"). By submitting a press application or being approved for access to the Event, you agree to comply with these Terms and Conditions.
1. Press Application and Approval
1.1 Application Process: Press representatives must submit a completed Press Application Form, providing details about their outlet, media affiliation, and coverage plans.
1.2 Approval Process: Submission of the application does not guarantee accreditation. The Organizer will review all applications and approve or deny access based on criteria such as the applicant's media reach, coverage relevance, and previous event experience.
1.3 Press Badge Issuance: If approved, the Press member will receive a press badge that grants access to the Event. The badge is non-transferable and must be worn at all times during the Event.
2. Press Access and Coverage
2.1 Event Access: Approved Press members will have access to designated press areas and other event spaces as deemed appropriate by the Organizer. Access to certain areas (e.g., backstage, VIP zones) may be restricted and will require special permission.
2.2 Coverage Restrictions: Press members are expected to cover the Event in a professional manner. Any photographs, videos, or interviews must be conducted according to the Event's guidelines and in coordination with the Organizer if required.
2.3 Press Conferences and Interviews: Any scheduled press conferences, interviews, or media opportunities must be respected. Press members must adhere to the Event’s schedule and guidelines when engaging with event staff, speakers, or other participants.
2.4 Social Media and Reporting: Press members are encouraged to report live on social media, blogs, or other digital platforms, provided they follow the Event's guidelines for content sharing (e.g., use of official hashtags, respect for embargoes, and non-disclosure agreements).
3. Content Usage and Copyright
3.1 Rights to Content: The Organizer retains the right to use photos, videos, and other content created by Press members at the Event for marketing, promotional, and archival purposes. Press members grant the Organizer a non-exclusive, royalty-free license to use such content.
3.2 Attribution: The Press member must ensure proper attribution for any content shared by the Organizer, including photo credits and mentions when reposting or sharing media provided by the Organizer.
3.3 Embargoes: If the Organizer shares embargoed materials, Press members agree to comply with the embargo terms. Failure to comply with embargoes may result in removal from the Event or loss of future access.
4. Press Conduct and Professionalism
4.1 Professional Behavior: Press members are expected to conduct themselves professionally and courteously at all times. Disruptive, inappropriate, or offensive behavior toward other attendees, staff, or participants will result in immediate removal from the Event.
4.2 Media Ethics: Press members must adhere to ethical guidelines for reporting and must avoid misrepresentation, conflicts of interest, or biased reporting. Any concerns about ethical breaches should be reported to the Organizer immediately.
5. Liability and Indemnity
5.1 Risk of Injury or Loss: The Press member acknowledges and agrees that they attend and participate in the Event at their own risk. The Organizer is not responsible for any injuries, loss, or damage to property during the Event.
5.2 Indemnity: The Press member agrees to indemnify and hold harmless the Organizer, its employees, agents, and contractors from any claims, damages, or liabilities arising out of the Press member’s participation in the Event, including but not limited to coverage, content creation, and any legal or financial consequences.
6. Confidentiality and Non-Disclosure
6.1 Non-Disclosure Agreement: Press members may be required to sign a Non-Disclosure Agreement (NDA) regarding sensitive information about the Event, such as pre-release announcements, business strategies, or confidential content. Press members must maintain confidentiality until the Organizer lifts the embargo or makes official announcements.
6.2 Confidential Information: Press members agree not to disclose any confidential or proprietary information obtained during the Event without prior written consent from the Organizer.
7. Cancellations and Modifications
7.1 Press Cancellation: If the Press member is unable to attend the Event after their application is approved, they must notify the Organizer as soon as possible.
7.2 Event Modifications or Cancellation: The Organizer reserves the right to cancel, reschedule, or modify the Event for reasons beyond their control, including but not limited to natural disasters, government restrictions, or other unforeseen circumstances. In such cases, the Organizer will inform approved Press members promptly and will provide instructions regarding re-scheduling.
8. Health and Safety Protocols
8.1 Compliance with Health and Safety Guidelines: The Press member agrees to follow all Event health and safety protocols, including any COVID-19-related guidelines (if applicable). These may include mask mandates, vaccination requirements, social distancing, or other event-specific measures. Failure to comply may result in removal from the Event.
8.2 Health and Safety Liability: The Organizer is not responsible for any health-related issues that arise from participation in the Event. Press members should take appropriate precautions regarding their own health and safety.
9. Press Rights and Responsibilities
9.1 Access Rights: The Press member’s access to the Event is contingent on compliance with these Terms and Conditions. The Organizer reserves the right to revoke press access or accreditation at any time for failure to comply with these terms.
9.2 Responsibilities: The Press member is responsible for their own equipment, including cameras, microphones, and recording devices. The Organizer is not responsible for any damage, theft, or loss of the Press member's equipment during the Event.
10. Amendments and Modifications
10.1 Modifications to Terms and Conditions: The Organizer reserves the right to modify or amend these Terms and Conditions at any time. Any changes will be communicated to the Press member in writing prior to the Event.
10.2 Governing Law: This Agreement shall be governed by the laws of Portland, OR, and any disputes arising from the Event will be handled in accordance with the laws of that jurisdiction.
11. Agreement
By submitting a Press Application, the Press member acknowledges that they have read, understood, and agree to be bound by these Terms and Conditions.
