By submitting this application to host your event or festival at the Event Center in Townsend, TN, you agree to the following terms and conditions:
Event Approval
All events are subject to approval by the Event Center management. Submission of an application does not guarantee approval.
Event Insurance
Organizers are required to obtain event liability insurance, naming the Event Center as an additional insured party. Proof of insurance must be submitted at least two weeks prior to the event.
Permits & Compliance
The organizer is responsible for obtaining any necessary permits, licenses, or approvals required for the event (e.g., food vendors, alcohol service, public entertainment). The event must comply with all local, state, and federal regulations.
Security & Safety
Organizers must provide a security plan for the event. The Event Center may require additional security personnel depending on the size and nature of the event. Event organizers are responsible for ensuring the safety of all attendees, staff, and vendors.
Event Setup & Breakdown
Setup and breakdown times must be specified in the application. Any event requiring additional time will be subject to approval and additional fees. Organizers must ensure the venue is returned to its original condition, and all equipment and materials are removed at the end of the event.
Damage & Liability
The organizer assumes full responsibility for any damage to the Event Center or its property during the event, setup, or breakdown. The Event Center is not liable for any injury, loss, or damage incurred during the event.
Alcohol & Food Service
If alcohol is to be served at the event, the organizer must comply with all applicable state laws and obtain the necessary permits. The Event Center may require a licensed bartender or vendor to serve alcohol. Any food vendors must be approved by the Event Center.
Cancellations & Refunds
Cancellations must be submitted in writing. Cancellations made within 30 days of the event date will forfeit the deposit. Refunds are not guaranteed and may be subject to venue policies.
Promotion & Marketing
The Event Center reserves the right to promote your event through its channels. Any marketing or promotional materials using the Event Center’s name, logo, or likeness must be approved by management in advance.
Indemnification
The event organizer agrees to indemnify and hold harmless the Event Center, its staff, and affiliates from any claims, damages, losses, or expenses arising out of or related to the event.
Force Majeure
The Event Center is not liable for any failure or delay in performing its obligations due to events beyond its reasonable control, including but not limited to natural disasters, emergencies, or acts of government.
Venue Policies
Organizers must adhere to all Event Center policies, including noise restrictions, parking regulations, and any other venue-specific rules.
