About the application

Thank you so much for submitting programming for Zenkaikon 2025! Without dedicated presenters like you, Zenkaikon would not be the convention it is. Our members trust us to have excellent programming, whether it be a panel, workshop, or anything else, and we value your contribution to setting the programming bar at a high level for our members. This year's theme is "Isekai", and any submissions on that theme will be appreciated and given more priority.

 

A few things to note before starting the application:

 

  1. You do not need to pre-register before your programming is accepted. If you did pre-register and your programming is accepted, your membership will be reimbursed in a timely manner. If you submit programming and are not accepted, you will receive a registration code that gives you and your second presenter a reduced membership rate in the event you miss the pre-registration price increase date while waiting.
  2. You do not need to purchase a Zenkaikon membership if submitting for an online presentation only. 
  3. Zenkaikon does not offer membership refunds. However, if you pre-register, your programming is not accepted, and you do not wish to attend Zenkaikon, we offer a membership transfer policy. Please refer to our "Refund and Transfer" policy at the bottom of our Registration page for full details. 
  4. If you wish to submit multiple programming items, you must complete this application form separately for each submission. Our form does not have the ability to have different programming items on one submission. You may submit both in-person and online-only programming if you so choose.
  5. Up to two membership reimbursements per submission will be offered to the first two listed presenters. Online-only presenters will receive up to two $40 Zenkaikon merchandise coupons instead of membership reimbursement for multiple submissions. Multiple membership reimbursements will not be offered to the same person if they appear on multiple submissions. 
  6. Selected programs may be held in reserve (Wait-Listed) in case of sudden cancellations. Those presenters will be notified if their program is Wait-Listed.
  7. We expect all presenters to show up on time, present your program as scheduled, and adhere to all Zenkaikon policies. Presenters not following these policies may be rejected for future applications. Selected Speed Panelists must arrive at the start of the Speed Panel and have five minutes to connect their laptop or device.
  8. We do not accept submissions that require an admission fee. All programming is open to all registered members. A small materials-only fee may be charged on a case-by-case basis for workshops that involve creating crafts. Please email adam.beaton@zenkaikon.org before submitting something that might require a material fee.
  9. No online-only programming that is 18+ in nature will be accepted. Panels will be checked for content ratings before being uploaded to our site.
  10. We cannot accept any online-only programming that does not follow all YouTube copyright restrictions and policies. Please do not upload any of your submitted programming to other sites until after Zenkaikon 2025, when your new programming will debut.
  11. File format for online-only programming is as follows:
    • .mp4 file format only

    • Resolution: 1080p/2K or smaller - videos less than 2048x1152p are considered standard (this is also the recommendation for the horizontal ratio)

    • Codec: H.264 video codec (this is the most common codec and supported by almost every device)

    • Frames Per Second: 20 fps - 60 fps (23.98 fps is a good option)

    • Less than 13GB in size

  12. We will notify all submitters of their submission status by December 1, 2024. Selected programs may be held in reserve (Wait-Listed) in case of sudden cancellations. Those presenters will be notified if their program is Wait-Listed.
  13. Be respectful of all Zenkaikon staff, volunteers, and fellow presenters.
